PROJECT ASSISTANT; BRISTOL BAY CLIMATE ADAPTATION PLANNING PROGRAM, PART-TIME PROJECT
OBJECTIVE: Support the Bristol Bay Climate Adaptation Planning Program by providing administrative, logistical, and research assistance to the Program Manager and project team
QUALIFICATIONS EDUCATION & EXPERIENCE – Required: High School Diploma or equivalent with three years of office experience Preferred: Three years of similar knowledge and experience. Substitutions: Complete achievement of certain of the above specifications may not be required if, in the opinion of BBNA a particular candidate possesses significant offsetting characteristics, such as past accomplishments, experience, education, or an estimate of future potential.
SKILLS & ABILITIES – Strong organizational, writing, and reading skills. Willing to develop skills related to the project’s range of activities. Must be able to work with supervisor directives, paying close attention to detail, and with minimal supervision. Ability to independently track multiple tasks and provide follow-through to meet timelines and funding requirements. TECHNICAL PROFICINENCY – Basic knowledge of Microsoft 365 including Outlook and Excel OTHER REQUIRMENTS Physical requirements vary between non-medium work and those that involve lifting light to heavy items and carrying them for a short distance. Familiarity with the Bristol Bay area, people, and cultures is desirable. Willing and able to arrange travel throughout the region.
JOB RESULTS:
Achieves Program functions by
- Developing a basic understanding of program funding sources, regulations, functions, policies, and procedures.
- Assisting with procurement, inventory management, and supply distribution.
- Performing clerical duties, including copying, faxing, filing, and data entry.
- Preparing correspondence and maintaining logs of program activities.
- Assisting with travel arrangements and processing travel reports.
- Managing a shared calendar for project planning activities and events.
- Managing and updating information on the Bristol Bay Climate Adaptation Program website page.
- Assisting with data collection for grant performance tracking, evaluation, and reporting.
- Conducting research and outreach, including contacting tribal organizations, agencies, and community members via phone, email, and surveys.
Assist with Meeting Preparation and Coordination by
- Helping to organize and facilitate program-sponsored meetings, ensuring accessibility and engagement.
- Coordinating meeting logistics, including invitations, venue reservations, catering, and equipment setup.
- Assisting the Program Manager and collaborative team with PowerPoint presentations and materials related to climate adaptation efforts.
- Preparing meeting agendas and packets and ensuring timely distribution.
- Recording and summarizing meeting notes or minutes for program documentation.
Keep Management Informed by
- Communicating frequently with the Supervisor.
- Keeping a daily log of relevant statistics.
- Preparing a comprehensive monthly report.
Meet requirements for travel in and out of region by
- Scheduling well planned trips if necessary to provide services, participate in training, and workshops.
Monitors and improves program and service quality by
- Measuring accomplishments against desired outcomes.
- Participating and collaborating with internal planning teams and similar groups to improve the overall effectiveness of the program.
Protect program integrity and client privacy by
- Agreeing to BBNA’s policy on confidentiality, keeping confidential information gained through employment secure, during and after this employment.

WAGE: $17.00/hr ($33,150/yr) – $40.35/hr ($78,683/yr)
GRADE RANGE: Class 6 – Project Assistant I to Class 9 – Project Assistant IV
