SUMMARY

Provides clerical support to the Juvenile Probation Department. Tracks court orders and conditions, enters data, electronically files case documents, prepares, and distributes documents, emails correspondence, answers telephone calls and responds to inquiries

ESSENTIAL DUTIES

Provides clerical support to the Juvenile Probation Department. Assists individuals at the public counter, prepares documents, requests records, sends correspondence, requests Victim Impact Statements, completes indigency affidavits, answers telephone calls, and responds to inquiries. Enters data, tracks court orders and conditions, maintains spreadsheets, and electronically files documents into the case management system.

Meets with families in an office setting to sign release of information forms, complete paperwork, administer appropriate screening tools, and collect other required documentation.

Enters and maintains required data for juvenile offenders including court orders, service referrals, attendance, evaluations, progress notes, program completion, and all other required data, into the case management system and other specified tracking spreadsheet.

Completes Financial Disclosure Forms for court appointed attorney requests in person or when parties appear virtually by Zoom. Distributes, collects, and reviews Financial Disclosure Forms or other appropriate court-related forms.

Collects DNA samples and completes youth fingerprints on felony and violent offenses cases.

Requests and documents Victim Impact Statements, documents correspondence, and ensures compliance with Marsy’s Law.

Responsible for reviewing and forwarding electronic filings notices to appropriate probation staff.

Completes work in a timely, consistent manner and is committed to being available during business hours to further organizational goals. Consistently meets assigned deadlines and completes data entry within required timeframes.

Maintains a professional and polite disposition at all times when dealing with the public, coworkers, court staff, service providers, and other outside agencies. Stays calm and even-tempered when handling crises, stressful situations, continuous change, or unexpected developments. Works effectively in a team environment to accomplish organizational goals.

Must be awake and alert at all times. Demonstrates regular and punctual attendance and arrives prepared to work; meets all job safety requirements and all applicable OSHA safety standards that pertain to essential functions. Maintains flexibility in work hours to accommodate the needs of the Court.

QUALIFICATIONS

High school diploma, GED, or equivalent is required

Job Type: Full-time

Pay: From $17.00 per hour

Expected hours: 40 per week
