Overview
We are seeking a highly organized and proactive Law Office Manager to oversee the daily operations of our legal practice. The ideal candidate will possess strong administrative, managerial, and communication skills, with experience in office management within a legal or medical office environment. This role involves bookkeeping, handling vendor relationships, client relationship management, marketing, and ensuring the smooth functioning of the office. The Law Office Manager will play a key role in maintaining efficient workflows and delivering exceptional client service.
Responsibilities
- Oversee daily office operations, including office supply inventory and procurement processes
- Handle vendor management, including negotiating contracts and maintaining relationships with service providers
- Oversee bookkeeping, payroll processing, budgeting, and financial recordkeeping using Clio, Quickbooks Online, and other applications as necessary, including IOLTA/Trust Account verifications
- Manage human resources functions such as onboarding, training & development
- Maintain filing systems and ensure compliance with legal recordkeeping standards
- Ensure effective communication within the team through phone etiquette and multi-line phone systems
- Develop and implement office policies to improve efficiency and productivity
- Assist with legal office management tasks as needed to support attorneys and staff
Requirements
- Proven experience in office management, preferably within a legal or medical setting
- Supervising experience with team management skills
- Strong organizational skills with attention to detail
- Excellent communication skills both written and verbal
- Proficiency in QuickBooks, Clio, and MS Office Suite (Word, Excel)
- Experience with bookkeeping, payroll processing, budgeting, and vendor management
- Knowledge of human resources practices including training & development and employee relations
- Clerical experience with filing systems, front desk operations, multi-line phone systems, and phone etiquette
- Ability to handle scheduling management efficiently under tight deadlines
- Experience in event planning is a plus
- Prior experience with medical office management or legal office administration is desirable
