Lead Medical Operations Specialist
The Logistics ● Role: Full-Time, Remote
● Time Zone: US Pacific Standard Time (PST) ● Hours: 9:30 AM – 6:00/6:30 PM PST
● Break: Lunch break - per your preference 30 min or 1 hour
● Tech Stack: OptiMantra (Opti), Spruce Health, DeepCura (AI Charting), Slack, Google Suite. ● Reporting structure: Reports to Sumayyah Zulfiqar, MD
What You Will Do You will wear multiple hats, ensuring that from the moment a patient calls to the moment their claim is paid, the process is seamless. 1. Patient Access & "Front Desk" Magic
● Communication Hub: ○ Answer live calls and messages. Manage real-time messages on Spruce and internal comms on Slack. ○ Review messages in EMR and email. ○ Collect, organize and address incoming faxes ○ You ensure no patient inquiry goes unanswered.
● Schedule Master: Manage the Opti calendar like a pro. Call pending leads, fill cancellation spots, and proactively reach out to patients due for follow-ups.
● New patient intake: You are the first line of response. Capture incoming referrals (Fax/Email/Spruce) immediately, collect necessary information to book appointments with the patient and log them in the tracker. 3. Care Coordination & Patient Success
● Clinical Care management : Address patient needs independently or working with Sumayyah Zulfiqar, MD and rest of the team
● Post-Visit Action: Once the visit ends, you take over. You will generate and send Home Health orders, specialist referrals, lab requests, and work letters.
● Agency Liaison: Coordinate with Assisted Living Facilities (ALF), Memory Care, and Home Health agencies, etc to address their requests. Clinic Operation : Ensure clinic operations are running smoothly - - - - - check upcoming weeks schedule. This includes verifying eligibility, updating insurance/credit cards, and ensuring consents are signed. Ensure patients have received reminders for appointment Open spots have been filled and clinic time has been optimized It includes checking patient documents needed for the visit are available . Clinical Prep & AI Charting
● The "Pre-Chart" Ritual: Before the provider sees the patient, you ensure the chart prep is complete.
● DeepCura Expert: You will use AI tools to prep charts, uploading past medical records, medication lists, and diagnosis codes so the provider is ready to go.
● Forms & Data: Send and track completion of PHQ9s, Sleep Assessments, and other intake forms prior to visits.
● Post visit charting to complete and close encounters for billing Assist clinical team with various projects: - - Chronic Care Champion: Assist to Manage patient lists for CCM (Chronic Care Management), TCM (Transitional Care), and RPM (Remote Patient Monitoring), ensuring weekly check-ins are done. Assist with group medical visits Revenue Cycle Management (Billing)
● Claim Commander: You ensure the practice gets paid. Assist in finishing charts (DeepCura to Opti) and submitting claims.
● Denial Crusader: You don’t let claims slip through the cracks. You will investigate denied claims, fix errors, and resubmit them.
● Financial Gatekeeper: Review aging reports, invoice patients for co-pays/deductibles, and update the system based on EOBs. Community Relationship nurturing and marketing assistance - - You are our face to our partners. Communicating and responding to their requests in a timely manner. Looping them back to provide feedback. Thanking them for the referral. Outbound calls to partners to request for any new referrals. 5. Strategy & Growth
● Weekly Planner: Analyze weekly metrics and work together with the team to accomplish our KPI.
