The Role
We are seeking a Legal Bookkeeper to support the day-to-day accounting operations of multiple client law firms. This is a hands-on role requiring strong familiarity with legal billing, trust accounting, and general bookkeeping functions.
For training purposes, the first 30 days will require full-time in-person and 31 – 60 days will require three days full-time in-person. After 90-days this position may go down to one in-person day.
Key Responsibilities
Billing & Revenue Cycle
· Open new clients and matters in firm systems
· Prepare, edit, and finalize prebills and invoices
· Process electronic billing where required
· Post and distribute final invoices
Accounts Receivable
· Post client payments and maintain accurate records
· Monitor and follow up on outstanding balances
· Support collections efforts as needed
Accounts Payable
· Set up and manage vendors
· Process payments via online platforms and credit cards
· Maintain and execute payment schedules
Trust Accounting (IOLTA)
· Maintain and reconcile client trust accounts
· Prepare client-level trust reconciliations
· Ensure compliance with legal and ethical requirements
General Accounting
· Reconcile bank accounts, credit cards, and general ledger
· Review and adjust GL entries monthly
· Maintain accurate financial records across multiple entities
Payroll
· Process payroll using platforms such as ADP, Gusto, or similar
· Set up new employees and maintain payroll records
· Stay current on payroll-related compliance requirements
Reporting
· Prepare monthly financial reports and statements
· Provide weekly cash position reporting
· Support ad hoc financial and operational reporting
Qualifications
· 2+ years of bookkeeping or accounting experience in a law firm or similar professional services environment (required)
· Strong working knowledge of QuickBooks (required)
· High comfort level working remotely, independently, and collaboratively.
· Experience with legal billing systems such as Clio, CARET, MyCase, PracticePanther, or similar
· Familiarity with trust accounting (IOLTA) and legal billing practices
· Payroll experience using ADP, Gusto, or similar platforms
· Solid understanding of general accounting principles (GAAP)
· High attention to detail and strong organizational skills
· Comfortable managing multiple priorities across different clients
· Strong communication skills and ability to work both independently and as part of a remote team
Work Environment & Schedule
· Full-time position
· Hybrid: primarily remote with at least one in-person day per week in Concord, CA or Anaheim, CA
· Standard business hours, Monday–Friday
· Collaborative team environment with regular check-ins

Pay: $28.00 - $35.00 per hour
