Legal & Executive Operations Assistant

We are seeking a highly organized and proactive Legal & Executive Operations Assistant to support our growing team. This is a hybrid role combining legal support, operations coordination, and direct support to the CEO.

You will play a key role in keeping the business organized, supporting legal and compliance efforts, and ensuring projects and day-to-day operations run smoothly.

Key Responsibilities

Legal Support:

  • Assist with preparation and organization of legal filings and documentation
  • Draft and review basic contracts, notices, and correspondence
  • Maintain organized legal and compliance records
  • Coordinate with external attorneys and ensure timely follow-ups
  • Support compliance efforts, including reviewing documentation for accuracy

Operations & Project Coordination:

  • Coordinate installation projects (camera systems, signage, etc.) across multiple locations
  • Order equipment and manage vendor relationships
  • Track timelines, deliverables, and ensure projects stay on schedule
  • Communicate with clients and vendors to ensure smooth execution

Executive Support:

  • Assist the CEO with day-to-day priorities, follow-ups, and task tracking
  • Help ensure nothing falls through the cracks across projects and operations
  • Draft emails and communications as needed
  • Provide general administrative and operational support

Qualifications

  • 2–5+ years of experience in operations, administrative support, legal support, or office management
  • Experience working with contracts, legal documentation, or compliance-related tasks preferred
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office, Google Workspace, or similar tools
  • Experience with QuickBooks or project management tools is a plus

Work Environment

  • In-office role based in Hollywood, FL
  • Monday–Thursday, 9:00 AM – 6:00 PM; Friday 9:00 AM – 3:00 PM
  • Occasional after-hours communication may be required
