Legal Intake Specialist

Overview
We are seeking a dynamic and detail-oriented Legal Intake Specialist to join our dedicated legal team. In this pivotal role, you will serve as the first point of contact for prospective clients and internal teams, managing initial case assessments and client inquiries with professionalism and efficiency. Your expertise will help streamline case intake processes, ensure accurate data collection, and facilitate effective communication across various legal disciplines. This paid position offers an exciting opportunity to develop your legal administrative skills while supporting a diverse range of legal practice areas.

Responsibilities

  • Conduct thorough interviews with prospective clients to gather essential case information across multiple legal fields such as estate planning, family law, immigration law, and more.
  • Manage incoming inquiries via phone, email, and online platforms with exceptional phone etiquette and organizational skills.
  • Utilize legal case management systems like PCLaw, iManage, Westlaw, LexisNexis, and document management tools to accurately record case details and maintain organized files.
  • Assist in initial document review, data entry, and research to support attorneys in preparing for litigation, contracts, or legal research projects.
  • Coordinate with internal teams to prioritize cases based on urgency and complexity while ensuring compliance with confidentiality standards.
  • Provide executive administrative support by scheduling appointments, managing calendars, and preparing correspondence related to intake activities.
  • Maintain meticulous records of all client interactions, case statuses, and follow-up actions to ensure seamless workflow continuity.

Qualifications

  • Proven experience in legal administrative support or as a paralegal within law offices or legal research environments.
  • Strong knowledge of multiple practice areas including estate planning, environmental law, UCC law, tribal law & regulations, patent law, workers' compensation law, personal injury law, securities law, landlord-tenant law, family law, and immigration law.
  • Proficiency with legal research tools such as Westlaw and LexisNexis; familiarity with document review and case management software like PCLaw and iManage is highly desirable.
  • Excellent interviewing skills combined with the ability to extract detailed information clearly and efficiently.
  • Exceptional organizational skills with a keen eye for detail; capable of managing multiple cases simultaneously while maintaining accuracy.
  • Strong writing skills for drafting summaries or preliminary reports; proofreading and transcription abilities are a plus.
  • Ability to handle sensitive information discreetly while demonstrating professionalism in all interactions.
  • Prior clerical experience including data entry, filing, document management systems usage, and administrative support is essential.

Pay: $18.75 - $23.50 per hour
