Job Overview
We are seeking a highly motivated and detail-oriented Legal Intake Specialist to join our dynamic legal team. In this pivotal role, you will serve as the first point of contact for prospective clients and internal teams, efficiently managing the intake process for a wide range of legal matters. Your energetic approach and exceptional organizational skills will ensure smooth communication, accurate information gathering, and seamless case initiation. This paid position offers an exciting opportunity to develop your legal administrative expertise while supporting diverse areas of law, including estate planning, environmental law, family law, litigation, and more.

Responsibilities

  • Conduct engaging and professional interviews with prospective clients to gather comprehensive case information across various legal disciplines such as estate planning, family law, immigration law, personal injury law, and others.
  • Manage incoming inquiries via phone, email, and online platforms with excellent phone etiquette and organizational skills.
  • Accurately input and update client data into legal case management systems like PCLaw, iManage, or similar platforms.
  • Review and organize legal documents, contracts, and case files using document management systems such as Westlaw or LexisNexis.
  • Assist in legal research and document review to support attorneys in preparing cases across multiple practice areas including securities law, tribal law & regulations, patent law, workers' compensation law, and litigation.
  • Support project management tasks by coordinating deadlines, scheduling appointments, and maintaining detailed records of client interactions and case progress.
  • Proofread legal documents for accuracy and clarity; transcribe notes or recordings as needed; ensure all filings are completed accurately and timely.

Skills

  • Strong understanding of various legal fields such as estate planning, environmental law, family law, litigation, UCC law (Uniform Commercial Code), landlord-tenant law, securities law, tribal law & regulations, patent law, workers' compensation law, personal injury law, immigration law.
  • Proven experience with legal administrative tasks including data entry, document review, filing systems, and case management software like Clio Grow.
  • Excellent interviewing skills with the ability to extract detailed information clearly and professionally from clients.
  • Proficiency in legal research tools such as Westlaw or LexisNexis to support case development.
  • Familiarity with legal drafting, proofreading procedures, transcription services, and contract review processes.
  • Demonstrated organizational skills to manage multiple cases efficiently while maintaining attention to detail.
  • Effective communication skills paired with professional phone etiquette to foster positive client interactions.
  • Ability to prioritize tasks effectively within a fast-paced environment while supporting attorneys with executive administrative functions. Pay: $18.00 - $23.00 per hour
