Job Summary
Our firm has a reputation of a warm, caring and knowledgeable first interaction. We are seeking a highly organized, client-focused Intake Specialist to serve as the first point of contact for prospective and existing clients. This role is responsible for managing the firm’s main phone line, conducting initial client intake, accurately gathering and documenting case information, and providing clear, confident fee quotes. The Intake Specialist will also cross-reference information using the Odyssey database and other internal systems to identify conflicts, verify case details, and ensure accurate records. The ideal candidate is professional, detail-oriented, and comfortable handling high-volume calls while maintaining a calm, empathetic, and efficient intake process in a fast-paced criminal defense environment.
Primary Responsibilities
· Serve as the first point of contact for all inbound leads, answering high-volume calls with confidence, professionalism, and a client-first approach.
· Conduct structured intake interviews to quickly assess case viability, gather critical facts, and identify urgent client needs.
· Confidently communicate the firm’s value and legal services, building trust and rapport with prospective clients.
· Provide clear, accurate fee quotes and retainers based on firm guidelines, with the goal of converting qualified leads into retained clients.
· Prepare, present, and facilitate execution of fee agreements, ensuring clients understand terms and successfully complete the engagement process.
· Proactively guide prospective clients through the decision-making process, addressing concerns and overcoming objections where appropriate.
· Track and manage all leads through the intake pipeline, ensuring timely follow-up and maximizing conversion opportunities.
· Accurately enter and maintain client and case information in firm systems.
· Cross-reference all new inquiries using the Odyssey database and internal records to confirm case details and identify potential conflicts.
· Schedule consultations for attorneys and ensure smooth handoff of qualified, informed clients.
· Maintain detailed intake logs and performance metrics related to call volume, lead quality, and conversion rates.
· Collaborate with attorneys and staff to refine intake processes and improve client acquisition outcomes.
· Support front office operations as needed, including greeting clients and maintaining a professional, welcoming environment.
Job Qualifications
· Strong project management skills with the ability to prioritize and manage multiple tasks efficiently.
· Excellent proofreading skills with a sharp eye for accuracy and detail.
· Effective interviewing and communication skills for gathering detailed information from clients or witnesses.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal practice management software ideal - CLIO and RingCentral
· Ability to maintain strict confidentiality and exercise sound judgment.
· Professional demeanor with strong interpersonal skills and a client-focused approach.
· Ability to adapt quickly in a fast-paced legal environment and remain calm under pressure.
· Strong time management skills and a proactive attitude toward problem-solving.
· Dependable, punctual, and committed to delivering high-quality administrative support.
Physical Requirements
· Ability to sit for extended periods of time while performing tasks at a desk or computer workstation.
