The Legal Office Manager / Senior Legal Assistant is responsible for overseeing the day-to-day operations of the law office while also performing legal assistant duties. This position supervises a team of approximately four staff members and ensures that office procedures, staffing coverage, attendance, supplies, and administrative workflows are handled efficiently and professionally. This position is ideal for a senior paralegal who has worked in a large firm and wants to work in a slower paced environment, with less duties.
The ideal candidate must be dependable, organized, and able to manage both people and tasks effectively. This person must be comfortable holding staff accountable, coordinating schedules, handling minor HR-related matters, and supporting attorneys with legal assistant work as needed.
Key Responsibilities
Office Management and Supervision
The Legal Office Manager / Senior Legal Assistant will supervise office staff and help ensure that employees are arriving on time, completing their assigned duties, and following firm policies and procedures. This person will monitor attendance, make sure time-off requests are properly entered into the firm’s system, and help coordinate coverage when staff members are absent, call out, or take scheduled leave.
This role will also assist with minor HR-related matters, including addressing basic employee issues, communicating expectations, helping enforce office policies, and escalating larger concerns to the attorney or firm leadership when necessary.
Scheduling and Coverage
This person will be responsible for helping maintain proper office coverage during business hours. This includes planning ahead for vacations, appointments, sick days, and other staff absences to ensure that phones, client communication, document preparation, filing, and other key office functions continue without interruption.
Office Operations
The Legal Office Manager / Senior Legal Assistant will ensure that office supplies are ordered on time, equipment and daily office needs are monitored, and the office remains organized and functional. This role may also help improve office procedures and make recommendations for more efficient workflows.
Legal Assistant Duties
In addition to management responsibilities, this person will perform legal assistant duties, which may include preparing and organizing legal documents, managing client files, communicating with clients, scheduling appointments, assisting with case updates, filing documents, maintaining calendars, and supporting attorneys and other legal staff with administrative and case-related tasks.
Qualifications
The ideal candidate should have experience working in a law office or professional office environment, preferably with prior supervisory or management experience. This person must be able to manage staff effectively, communicate clearly, stay organized, handle multiple priorities, and maintain professionalism when dealing with employees, clients, attorneys, and outside parties.
Required Skills
The successful candidate must have strong leadership and people-management skills, excellent organizational abilities, good written and verbal communication skills, attention to detail, and the ability to work efficiently in a fast-paced legal office. The candidate must also be reliable, professional, proactive, and comfortable holding others accountable.
Preferred Experience
Prior experience as a legal assistant, office manager, lead legal assistant, or administrative supervisor is preferred. Experience with legal case management systems, time-off tracking systems, calendars, client communication, and office procedures is also helpful.
Pay: $25.00 - $30.11 per hour
