Job Summary
Real Deal Law is seeking a professional, friendly, and detail-oriented Legal Receptionist to be the welcoming face and voice of our growing firm. This front desk–based role is central to client experience and to the daily operations of the office. The Legal Receptionist greets clients, manages incoming calls and correspondence, processes payments, schedules appointments, and provides general clerical and light legal-administrative support to our attorneys and staff across multiple practice areas, including real estate and business law.
The ideal candidate is warm, well-spoken, organized, and comfortable using modern office technology, including AI tools, to keep the front office running smoothly.
Key Responsibilities
- Serve as the first point of contact at the front desk — greet clients, visitors, and vendors in a professional, courteous manner.
- Answer, screen, and direct incoming phone calls; take detailed messages and route inquiries to the appropriate staff member.
- Manage incoming and outgoing mail, deliveries, and correspondence, including preparing letters and legal documents for mailing.
- Process client payments and maintain accurate records of transactions.
- Schedule appointments, consultations, and meetings; help maintain the firm’s calendar.
- Keep the reception area and conference rooms clean, organized, and presentable for clients.
- Perform data entry and assist with maintaining electronic filing systems.
- Provide general administrative support to attorneys and staff, including printing, scanning, copying, and filing documents.
- Assist with light legal-administrative tasks such as preparing client folders, organizing case files, and basic document formatting (training provided).
- Utilize AI tools and modern office technology to improve efficiency in administrative workflows.
- Handle confidential client information with discretion and professionalism at all times.
Requirements
- Prior experience as a legal receptionist, front desk coordinator, or in a customer-facing professional office environment preferred.
- Excellent verbal and written communication skills in English and Hindi/Urdu, including warm and professional phone etiquette.
- Strong organizational skills with the ability to manage a busy front desk and multiple priorities.
- Friendly, polished, and client-focused demeanor.
- Proficiency in Microsoft Office (Word, Outlook, Excel) and general computer systems; experience with legal software (e.g., iManage, PCLaw, Westlaw, LexisNexis) is a plus but not required.
- High attention to detail and the ability to handle confidential information with discretion.
- Reliable, punctual, and able to maintain consistent working hours (minimum 9:00 AM – 5:00 PM).
- Interest in working in a legal/professional services environment
Pay: $15.00 - $20.00 per hour
