Overview
Woman-owned, San Francisco-based law firm is looking for a full-time administrative professional to work in-office with our team of three attorneys, two paralegals, and two other administrative staff members. Our work is exclusively in the areas of estate planning, probate, and trust administration. We help clients prepare for death or incapacity, or deal with the death or incapacity of a loved one, and we strive to do this in a calm, caring, and professional manner.
Our ideal candidate will have office experience and be organized, personable, and a self-starter. Experience with estate planning or in the legal field is preferred, but we are willing to train the right candidate. This is a great opportunity for growth with our busy firm.
Primary job responsibilities for this position include
- Word processing and document preparation related to client documents and client communication.
- Managing attorney calendars using Acuity
- Communicating directly with potential and existing clients about scheduling and billing matters.
- Managing database (PracticePanther), including managing client information, sending/receiving documents for e-signature, send/receive retainer request.
- Greeting clients and answering phones.
- Handling mailings, court filings, and similar correspondence.
- Supporting some administrative tasks for running the office such as ordering supplies and maintaining office kitchen.

- Excellent written and oral communication skills.
- Strong multi-tasking and time management skills: ability to prioritize and manage many varied tasks at a time, following through in a timely manner.
- Attention to detail and strong proofreading skills.
- A strong work ethic with high standards for quality and quantity of work.
- The desire and capacity to learn, and to be part of a mutually supportive and enjoyable work environment.
- Experience working in the legal field strongly preferred.
Compensation
- Compensation up to $35/hour, dependent on experience and qualifications.
