Job Description: This position can be in office, hybrid, or remote. Monday to Thursday, 8:30 am to 5:00 pm, closed on Friday's!
Duties include managing records requests, maintaining client communication regarding open issues, and assisting with drafting and reviewing complaints and other litigation documents. This role is deadline-driven and requires strong organization, follow-through, and professional communication with clients, providers, and third parties.
Key Responsibilities:
- Records Requests and File Management
- Prepare, send, and track requests for medical records and billing, employment records, insurance records and claim files, police reports, and other official records.
- Follow up with providers and facilities to ensure timely receipt of records.
- Review records for completeness and identify missing items, gaps in treatment, or inconsistencies.
- Organize and index records within the case management system in a clear, logical structure for attorney review.
- Maintain a running log of all outstanding records, expected dates, and follow-up actions.
- Client Communication and Open Issues
- Serve as a point of contact for clients on litigation matters under attorney supervision.
- Identify and communicate outstanding items needed from clients, such as documents, forms, or information.
- Track and follow up on all open client issues and tasks to ensure timely completion.
- Document all client communication in Filevine
- Schedule client meetings, calls, and preparation sessions for depositions, mediations, and hearings as requested by the attorney.
- Drafting and Reviewing Complaints and Litigation Documents.
- Assist with drafting and revising complaints, amended complaints, and summons.
- Prepare basic discovery requests and responses, including interrogatories, requests for production, and requests for admission, under attorney supervision.
- Draft simple motions, notices, and correspondence as directed by the attorney.
- Proofread all documents for accuracy, completeness, and consistency, including names, dates, amounts, and causes of action.
- Ensure documents comply with applicable court rules, formatting requirements, and filing deadlines.
- Prepare and organize exhibits and supporting documentation.
- Litigation Support and Additional Duties.
- Assist with calendaring court dates, deadlines, and hearings.
- Coordinate service of process and track proof of service.
- Draft routine correspondence to opposing counsel, providers, and third parties.
- Assist in preparing hearing, mediation, and trial binders and document sets.
- Support file opening and closing procedures and run conflict checks as needed.
- Perform other litigation-related tasks as requested by the attorney or litigation manager.
Qualifications:
Required:
- Minimum 2 years of experience as a litigation paralegal or legal assistant, preferably in personal injury or civil litigation.
- Working knowledge of the personal injury process and deadlines in Washington State
- Associate’s degree, paralegal certificate, or equivalent education and experience.

Pay: $45,000.00 - $60,000.00 per year
