A logistics clerk handles the clerical duties of shipping and receiving, including processing orders, tracking shipments, and preparing shipping documents. They are responsible for ensuring the accurate and efficient movement of goods and often use computer systems to organize information and communicate with other departments, suppliers, and customers. Key skills include proficiency in transportation software and Microsoft Office (especially Excel), strong communication, and organizational abilities.

POSITION DUTIES:

  • International and Domestic Documentation: Prepare packing lists, shipping and marks labels, invoices, and other documentation as required by the customer.
  • Prepare letters of credit, and/or foreign government requirement.
  • Understand and adhere to Export Compliance requirements.
  • Track, update and monitor list of all materials packed and awaiting shipment.
  • Accurate records maintenance: Scan all export documentation and attach to the appropriate order or folder.
  • Maintain original paper files for a period determined by compliance standards.
  • Monitor/track all large shipments sent via freight forwarder and follow up to request all necessary customs documentation.
  • Reviewing billing documentation to ensure correct bill to/ship to information is provided.
  • Amend documentation where necessary to avoid customs delays and/or added penalties/charges.
  • Create courier (UPS, DHL, FedEx) shipment labels including correct address and billing account information.
  • Process large, weekly consolidation shipments.
  • Establish contact with customers and freight forwarders to determine correct mode of transport, documentation requirements, and general communication surrounding order status.
  • File appropriate documentation with US Customs using the ACE portal.
  • Provide accurate information to freight forwarders for the purpose of customs documentation.
  • Review export documentation and request changes if necessary.
  • Create certificates requested by customers during the order entry process.
  • Obtain notary stamping and local Chamber of Commerce stamping when necessary.
  • Respond to a high volume of emails and requests in a timely and efficient manner

POSITION REQUIREMENTS:

  • High School Diploma or GED required; Minimum 2 or more years’ experience in Billing/Accounts Receivable functions including collections, export documentation and/or logistic background desired.
  • Ability to work in a team-oriented environment
  • Exceptional PC skills, including proficiency in Microsoft Office; SAP a plus.
  • Demonstrates good verbal, written communication, and interpersonal skills.
  • Shows evidence of good organizational skills and attention to detail.
  • Knowledge of fundamental accounting concepts and accounting office practices and procedures.
  • Demonstrated communication (written, verbal and listening) and interpersonal skills with the ability to interact with internal and external customers.
  • Flexible work approach regarding changing deadlines and non-standard hours.
  • Ability to handle multiple tasks with interruptions.
  • Good phone presence.
  • Contributes to problem resolution that results in changes and/or enhancements to processes or projects.

WORK ENVIRONMENT:

  • Time spent in office environment as well as on the shop floor.
  • Frequent sitting with operation of phone and computer.
