Fast Lane Real Estate is a high-volume real estate investment company based in St. Charles, MO, specializing in residential property acquisitions and renovations. With 25+ active projects per year, we operate at a fast pace and rely on strong systems, accurate data, and efficient communication to keep the business running smoothly. We are looking for a highly organized, proactive Office Administrator to support the owners and leadership team as we continue to grow.
Job Summary
The Office Administrator will report directly to the Owners of Fast Lane Realty Partners. Responsibilities will include assisting with all manner of situations relating to the operations of the company. The role will be key to the efficiency and success of the company.
Duties
- Accounting & Financial
- Write checks/pay subcontractors when invoices come in and enter/categorize into QuickBooks.
- Coordinate/facilitate payments with contractors.
- Reconcile monthly QuickBooks and provide monthly balance sheet and P&L.
- Write earnest money checks for purchases and deliver to title company.
- Track expenses on rehab projects for up to date weekly reports.
- Project Management
- Assist in ordering materials (normally via amazon or home depot) and have delivered to job sites.
- Coordinate with contractors on materials needed
- Assist with choice of materials
- Assist with receiving bids from subcontractors
- Assist with overseeing quality of work by subcontractors
- Administrative Tasks
- Manage Office Supplies and Cleaning Schedule
- Manage the Owners’ calendars
- Prioritize tasks deadlines and follow ups for the owner and key team members
- Assist with tasks such as scheduling travel trips, researching insurance options, office related admin and general tasks
- Create and adhere to an online receipts and docs filing system
- Assist with data entry for project listings in the MLS
- Assist with a variety of marketing tasks
- Answer phone calls
- Oversee internal communication and coordinate team updates
- Data, Systems, and Reporting
- Pull weekly and monthly KPI reports for owner
- Assist with MLS activities including pulling comparable reports for properties
- Support acquisitions team with appointment preparation and follow-up
Requirements
- The ideal candidate will be highly organized, be self-motivated, and have great follow through. Be friendly, calm, and professional. Have at least two years of experience working as an Office Manager, or Administrative Coordinator, ideally (but not required) within the real estate industry. Exceptional organisational skills and meticulous attention to detail are required, along with excellent communication abilities. The successful applicant must demonstrate the capability to multitask and effectively prioritise tasks in a fast-paced environment. Proficiency with Google Workspace, spreadsheets, and CRM platforms is also important. Additionally, the candidate should be proactive, reliable, and possess a solution-oriented mindset.

Pay: $40,000.00 - $48,000.00 per year
