Core responsibilities
- Manage office operations: Oversee the day-to-day functioning of the office to ensure it runs smoothly and efficiently.
- Handle communication: Act as the first point of contact by answering phones, responding to emails, and greeting visitors.
- Coordinate schedules: Manage calendars, schedule meetings, and book conference rooms.
- Manage supplies and equipment: Track inventory, order office supplies, and ensure office equipment is maintained and functional.
- Maintain records: Organize and maintain both paper and digital files, including general office files, customer records, and financial information.
- Support staff: Provide administrative support to other departments and staff members, which can include tasks for HR or finance.
- Handle administrative tasks: Perform various clerical duties, such as filing, data entry, and preparing documents like letters, reports, and spreadsheets.
- Coordinate logistics: Arrange travel and accommodation for employees.
- Perform basic financial duties: Assist with tasks like processing invoices, managing accounts receivable, and tracking budgets.
