Summary/Objective: We are seeking a friendly, organized and detail-oriented Office Administrator to join our Owasso office. As the first point of contact for clients, visitors, real estate agents, lenders and attorneys, you will play a vital role in ensuring smooth office operations and excellent customer service.

  • Greet and assist clients, visitors, and vendors in a professional and welcoming manner.
  • Answer and route incoming phone calls; take accurate messages as needed.
  • Manage front desk operations, including handling mail, packages and courier services.
  • Prepare closing rooms with necessary supplies and keep organized and clean.
  • Monitor office supplies and place orders as needed.
  • Assist in performing post closing activities such as scans, filing, and mailing out documents.
  • Support overall office efficiency by assisting with special projects or administrative duties.
  • Understands, follows, and stays current on all policies and procedures in the Employee Handbook.
  • Follows instructions and responds to management direction.
  • Performs all essential functions by being physically present at the worksite on a full-time basis.
  • Interact with clients, realtors, and other industry professionals in a manner that reflects professionalism and exhibits company core values.

  • Ability to multi-task in fast paced environment.
  • Ability to comprehend and write instructions, correspondence and memos with proper punctuation, spelling, and grammar.
  • Excellent verbal and interpersonal skills over the phone and in face-to-face interactions.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees.
  • Ability to deliver excellent customer service to internal and external customers.
  • Ability to consistently meet deadlines, demonstrate strong follow-through and to follow all regulatory and company procedures.
  • Ability to perform basic mathematical calculations.
  • Ability to effectively utilize title processing and basic computer software.

Preferred Education and Experience:

  • High School diploma or GED (Required)
  • Customer Service: 1 year (Preferred)
  • Knowledge of title and escrow procedures, regulatory guidelines, legal documents, and real property law a plus.
  • Knowledge and experience using Microsoft Office

Pay: From $35,000.00 per year
