GENERAL SUMMARY:
The Human Resources Onboarding Agent is responsible for organizing and facilitating the company’s onboarding procedures for new hires. This role helps to ensure that candidates receive a high level of care and attention, as they are properly welcomed and successfully onboarded to HFHS. Individuals in this role are responsible for post offer functions including background checks, collection of new staff paperwork, and data entry. Ensures compliance with all federal and state regulations as well as organizational policies and procedures.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
1. Manages the onboarding process and make decisions to ensure a positive candidate experience.
2. Accelerates onboarding process by engaging candidates and assisting with setting schedules for pre-employment screenings, onboarding sessions, and new hire orientation as applicable.
3. Works with the Talent Acquisition Team and Security Department weekly to create New Employee Orientation sign-in sheets, ensures employee badges are distributed with appropriate job titles and departments, and new staff are granted appropriate security access.
4. Assists with New Employee Orientation check-in and welcome new employees upon their arrival.
5. Processes post-offer requirements including criminal background checks and new staff paperwork to ensure that pre-employment screenings and background checks are completed and cleared prior to the candidate’s start date.
6. Provides information to supervisors, co-workers, etc. by telephone, in written form, e-mail, or in person regarding status updates and other information
7. Reports issues to members of Talent Acquisition Team, The HFHS University, the Security Department, and Employee Health as appropriate.
8. Coordinates New Staff Onboarding Sessions including scheduling the sessions, preparing materials, and facilitating the sessions with new staff.
9. Serves as the new staff member’s point of contact for questions related to Human Resources and the hiring process.
10.Performs audits and reviews documentation for accuracy and compliance with applicable Federal and State laws and regulations.
11.Responsible for crafting and sending emails to new staff with information about the company and position, orientation schedules, dress code and parking options.
12.Informs new employees on the company’s onboarding requirements and ensure they have assistance to properly complete what is necessary by specific deadlines. (e.g. How to access HFHS Employee Service accounts and complete specific tasks/documents such as Form I-9, direct deposit, W4 tax form, new employee training modules, benefits and retirement enrollment.)
13.Processes internal transfers.
14.Performs other duties as assigned.
