Position Summary

The Operations Assistant supports the daily functions of the land development team by managing documentation, coordinating project information, and assisting with contract and compliance activities. This role requires exceptional organization, strong analytical skills, and the ability to work collaboratively across departments. The ideal candidate thrives in a fast-paced environment, maintains impeccable attention to detail, and contributes to streamlined processes that ensure operational efficiency and regulatory compliance.

Key Responsibilities

Project & Operational Support

  • Assist in the coordination, tracking, and reporting of land development projects, budgets, schedules, and milestones.
  • Maintain accurate and up-to-date project files, digital records, and internal documentation.
  • Prepare reports, spreadsheets, and summaries to support project decision-making and performance monitoring.
  • Support the development team with logistical needs, including scheduling, follow-ups, and participating in site visits as required.

Contract Administration

  • Oversee the review, execution, and ongoing management of land-related agreements and documentation.
  • Track key contract deadlines such as obligations, expirations, renewals, and compliance requirements.
  • Assist in the preparation, renewal, extension, or release of contracts and agreements.
  • Help develop and implement internal policies and procedures related to land contracts and real estate transactions.

Regulatory & Compliance Support

  • Conduct research on municipal, county, and state regulations to evaluate impacts on active and future projects.
  • Ensure compliance with zoning regulations, permitting requirements, environmental standards, and other applicable statutes.
  • Monitor regulatory updates and communicate changes that may influence project planning or operations.

Process Improvement

  • Identify opportunities to streamline internal workflow processes and improve operational efficiency.
  • Assist in refining procedures for documentation, reporting, communication, and project tracking.

Qualifications

Education & Experience

  • Experience in land development, real estate, construction, operations preferred but not required.
  • Previous experience in an administrative, operations, or project coordination role is a plus.

  • Exceptional ability to prioritize multiple tasks, manage competing deadlines, and stay organized in a fast-paced environment.

Communication

  • Strong written and verbal communication skills with the ability to interact effectively with staff, clients, vendors, and municipal agencies.

Analytical & Problem-Solving

  • Ability to research, analyze data, identify issues, and develop practical solutions.

Technical Proficiency

  • Strong skills in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace.
  • Ability to learn new software.

Attention to Detail

  • High level of accuracy in documentation, recordkeeping, proofreading, and data entry.

Adaptability & Flexibility

  • Ability to adjust to shifting priorities, new procedures, and regulatory changes while maintaining productivity and professionalism.

Additional Requirements

  • Ability to attend on-site field visits as needed.
  • Strong teamwork skills and a collaborative mindset.

Physical Requirements

  • Ability to sit, stand, and use standard office equipment for extended periods.
  • Ability to walk project sites as required.

Job Type: Full-time

Pay: From $44,000.00 per year
