Operations Specialist

We are looking for a detail-oriented Operations Specialist to join our team in San Francisco, California. In this long-term part-time contract position, you will play a vital role in ensuring the smooth day-to-day functioning of office operations. The ideal candidate is proactive, organized, and possesses strong communication skills to collaborate effectively with vendors, contractors, and internal staff.

Responsibilities:

• Provide comprehensive administrative support, including document management, filing, and general office tasks.

• Manage office pantry and kitchen supplies by placing regular grocery orders and maintaining stock levels.

• Proactively monitor and reorder office supplies to ensure availability when needed.

• Handle mail operations such as sorting, distributing, and preparing outgoing shipments.

• Execute various operational tasks based on business needs, adhering to established procedures and checklists.

• Coordinate with service providers for cleaning and maintenance tasks as required.

• Maintain accurate records of office expenses, supply orders, and operational activities.

• Communicate with external vendors and contractors to ensure timely service delivery and problem resolution.

• Facilitate smooth operations by collaborating with team members and addressing ad hoc operational needs.

• Minimum of one year of experience in an operations or administrative role.
• Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
• Proactive approach to identifying and solving problems independently.
• Excellent written and verbal communication skills to interact effectively with various stakeholders.
• Familiarity with office management tools and practices.
• Ability to follow established routines and adapt to new operational processes.
• Experience working with vendors and service providers.
• Basic financial record-keeping skills to track expenses and orders.
