Position Summary
We are seeking a detail-oriented and experienced Operations / Traffic Coordinator with a strong background in freight forwarding, particularly in ocean and air shipments. The ideal candidate will manage day-to-day shipment coordination, documentation, and communication with carriers, agents, and customers to ensure the efficient and timely movement of cargo worldwide.
Key Responsibilities
1. Shipment Coordination
- Coordinate and monitor import/export shipments via ocean and air from origin to destination.
- Prepare and verify all documentation including commercial invoices, packing lists, bills of lading, airway bills, and certificates of origin.
- Communicate with overseas agents, carriers, and customers regarding shipment status and requirements.
- Track and update cargo movement through internal systems and provide regular updates to clients.
2. Operations & Compliance
- Ensure all shipments comply with U.S. Customs, TSA, IATA, FMC, and other regulatory requirements.
- File AES (Automated Export System) and manage ISF (Importer Security Filing) submissions accurately and on time.
- Maintain complete operational records and ensure billing accuracy for each shipment.
- Work closely with the accounting department for freight invoicing, vendor billing, and payment verification.
3. Customer Service
- Serve as the main point of contact for customers regarding shipment tracking, documentation, and problem resolution.
- Provide proactive communication to clients regarding shipment status, exceptions, or delays.
- Offer tailored logistics solutions and ensure a high level of customer satisfaction.
4. Carrier and Vendor Relations
- Coordinate with steamship lines, airlines, truckers, and warehouses to secure bookings and rates.
- Negotiate rates and space with carriers when necessary to optimize cost and service.
- Monitor carrier performance and maintain strong vendor relationships.
Qualifications
- Minimum 3–5 years of experience in operations, traffic, or freight forwarding (ocean and air required).
- Strong knowledge of INCOTERMS, international documentation, and customs procedures.
- Proficiency with freight forwarding software (e.g., CargoWise, Magaya, Descartes, etc.) and MS Office Suite.
- Excellent organizational, multitasking, and communication skills.
- Detail-oriented with the ability to handle multiple shipments under tight deadlines.
- Bilingual (English/Spanish) preferred but not required.
Education
- Associate’s or Bachelor’s degree in Logistics, Supply Chain Management, International Business, or related field preferred.
- Equivalent work experience will be considered.
