The Paralegal supports legal, compliance, and administrative functions by performing legal research, preparing and maintaining documentation, managing patient-related legal correspondence, and assisting with regulatory, contractual, and litigation matters. This role ensures timely, accurate, and compliant handling of legal workflows across a multi location medical practice.

Duties/Responsibilities:
Legal Support & Documentation
- Draft, review, and revise legal documents including contracts, business associate agreements (BAAs), subpoenas responses, demand letters, affidavits, declarations, and settlement documents.
- Assist with litigation case management, discovery responses, and document production.
- Prepare and maintain corporate records, policies, and compliance documentation.
Medical Record & Subpoena Management
- Manage all incoming subpoenas, record requests, and legal inquiries related to patient medical records.
- Coordinate with the Medical Records department to ensure HIPAA-compliant release of information.
- Track deadlines and maintain subpoena logs.
Regulatory & Compliance Support
- Assist with compliance matters involving HIPAA, OSHA, and state medical board requirements.
- Maintain documentation for audits
- Help ensure adherence to internal policies and healthcare regulations.
Contract & Vendor Support
- Assist with vendor contract review, renewals, and updates.
- Maintain organized contract repositories and track key dates and deliverables.
Research & Case Preparation
- Conduct legal research on applicable topics.
- Summarize findings and provide organized materials for attorney or leadership review.
Administrative & Cross Department Support
- Coordinate correspondence with attorneys, insurance companies, patients, and external parties.
- Maintain calendars, deadlines, and task lists for legal matters.
- Performs other duties as assigned.
Qualifications:
- Education: Associate degree from an accredited program.
- Experience: 2+ years of paralegal experience; preferred experience working in a medical practice, personal injury law firm, or healthcare organization, Knowledge of HIPAA, healthcare compliance, and medical record workflows, Experience with subpoena processing and litigation support
- License/Certifications: Paralegal Certificate from an accredited program
