Parts Coordinator (HVAC / Controls) — Control Technologies, Inc.

Location: Vermont & Upstate NY Region
Job Type: Full-Time
Department: Service
Schedule: Monday–Friday, occasional extended hours during high-volume periods

We are growing — and we’re looking for a proactive, detail-driven Parts Coordinator with HVAC/Controls knowledge to support our field service team.

POSITION OVERVIEW
The Parts Coordinator is responsible for sourcing, ordering, organizing, and tracking parts and materials used by our HVAC and Controls technicians. This role ensures that the right parts get to the right job at the right time. The ideal candidate understands HVAC/Controls systems, is highly organized and tech-savvy, communicates well, works proactively, and is willing to put in extra effort during urgent needs.

KEY RESPONSIBILITIES

Parts & Inventory
  • Source and order HVAC/Controls parts from vendors
  • Maintain accurate inventory and stock levels
  • Track shipments, lead times, backorders, and deliveries
  • Verify OEM part numbers and compatibility
Technician Support
  • Prepare parts kits for service jobs
  • Assist technicians with part identification and availability
  • Resolve part shortages and find alternative solutions
Small Parts Estimates
  • Prepare small-scope parts estimates for service work
  • Confirm pricing, availability, and materials
  • Communicate lead times and estimate details promptly
Documentation & Systems
  • Maintain purchase logs, packing slips, and parts records
  • Update ERP/service software with parts data daily
  • Use vendor portals, spreadsheets, and digital tools efficiently
Vendor & Customer Communication
  • Communicate professionally with vendors and internal teams
  • Provide updates on delays or substitutions
  • Build and maintain strong vendor relationships
Proactive Operations
  • Anticipate material needs for upcoming projects
  • Keep warehouse areas clean and organized
  • Step up during urgent or high-volume periods
QUALIFICATIONS
  • 3+ years experience in HVAC, Controls, Mechanical, or related parts coordination
  • Strong understanding of HVAC/Controls components
  • Excellent computer skills (ERP systems, spreadsheets, vendor portals)
  • Strong communication and organizational skills
  • Problem-solving mindset and proactive work style
  • Valid driver’s license (occasional local parts pickup required)
  • Ability to lift 50 lbs and navigate warehouse environments
