1. JOB SUMMARY


The Parts Manager is responsible for overseeing the businesses parts operations, ensuring efficient inventory management, strong supplier coordination with the Chinese OEM, and high internal and external customer satisfaction. This role plays a key function in supporting vehicle sales, workshop productivity, spare-parts availability, and brand standards.



Key Responsibilities


1. Parts Operations Management

  • Manage day-to-day operations of the parts department, including receiving, storing, issuing, and invoicing parts.
  • Ensure full compliance with the Chinese OEM's operational standards, systems, and reporting requirements.
  • Maintain accurate stock levels to support workshop throughput, wholesale sales and retail sales.
  • Monitor fast-moving, slow-moving, and obsolete inventory, taking corrective actions.


2. Inventory Control & Forecasting

  • Implement effective inventory control practices to minimise shortages and overstocking.
  • Forecast demand based on UIO (Units in Operation), vehicles sales forecast, upcoming service campaigns, market trends, and seasonal requirements.
  • Conduct quarterly stock audits to maintain accuracy.
  • Conduct bi-annual stock takes





3. Supplier & OEM Coordination

  • Communicate regularly with the Chinese automotive manufacturer regarding parts ordering, logistics, back-orders, pricing updates, and warranty parts.
  • Track shipments and ensure timely customs clearance.
  • Manage relationships with local suppliers and distributors.


4. Customer Service & Sales

  • Ensure excellent customer service for Internal, Wholesale and Retail customers.
  • Support the service business by ensuring timely parts availability for repairs and maintenance.
  • Develop and implement parts sales strategies to increase revenue and achieve monthly, quarterly and annual sales targets.
  • Resolve customer complaints promptly.


5. Team Leadership

  • Lead, train, and motivate the parts team, ensuring high performance and adherence to Petromin and brand standards.
  • Conduct regular performance evaluations and implement development plans.


6. Reporting & KPIs

  • Prepare monthly reports on inventory levels, order status, sales performance, and KPIs defined by management and Chinese OEM.
  • Track and optimise key metrics such as fill rate, first-pick rate, stock turnover, and parts gross profit.
  • Support internal audits and compliance inspections.

This position requires the ability to multitask and manage a high workflow under considerable time pressures. The ability to work on your own initiative, manage your time and work priorities is crucial as well as lead and develop your team.


Being flexible and adaptable to business needs is critical and the ability to take on short notice tasks with strict deadlines is a crucial part of the role.


Being a creative thinker and the ability to learn a new part of the automotive industry (Commercial Vehicles) is a mandatory requirement.
