Job Summary

The Parts Associate plays a critical role in supporting agricultural customers and the service department by providing accurate, professional, and timely parts support. This position is responsible for assisting customers in person and over the phone, locating and ordering parts, managing inventory, and handling shipping/receiving functions.

Key Responsibilities

  • Professionally answer incoming phone calls and greet walk-in customers with a positive, knowledgeable, and helpful attitude.
  • Identify customer needs, look up and recommend the correct parts for agricultural equipment (tractors, swathers, balers, implements, etc.) using electronic parts catalogs (New Holland, AGCO, Case IH, John Deere, or other applicable systems).
  • Accurately process customer orders, special orders, and backorders while providing clear pricing, availability, and estimated delivery information.
  • Place orders with manufacturers and vendors through online portals, phone, or email, and follow up on order status to ensure timely delivery.
  • Receive, inspect, verify, and stock incoming parts shipments; resolve any discrepancies with suppliers.
  • Prepare and ship parts orders (including cores and warranty returns) using UPS, FedEx, LTL carriers, or dealership delivery routes.
  • Maintain a clean, organized, and accurately labeled parts department, warehouse, and counter area.
  • Perform regular cycle counts and participate in annual physical inventory.
  • Pull and deliver parts to the service department as needed; stage parts for upcoming service jobs.
  • Process core returns, warranty claims, and defective part returns according to manufacturer policies.
  • Assist with parts marketing initiatives such as promotions, flyers, or customer calls.
  • Operate forklifts and other material-handling equipment safely (training provided if needed).
  • Other duties as assigned by the Parts Manager.

Required Skills & Qualifications

  • High school diploma or equivalent; post-secondary education in agriculture, agribusiness, or parts management is an asset.
  • 1–3 years of experience in agricultural or heavy equipment parts (dealership experience strongly preferred).
  • Strong mechanical aptitude and familiarity with agricultural equipment and attachments.
  • Excellent customer service skills with a professional phone voice and in-person demeanor.
  • Proficient with computers, including parts catalog software, inventory systems, and Microsoft Office.
  • Detail-oriented with strong organizational skills and the ability to multi-task in a fast-paced environment.
  • Ability to lift up to 70 lbs regularly and stand for extended periods.
  • Forklift certification is an asset (or willingness to obtain).

Compensation is DOE

Job Type: Full-time

Pay: $18.00 - $25.00 per hour

Expected hours: 40 per week
