As a Driver Payroll Co-ordinator you would be required to manage, process, and reconcile driver-related payroll activities while ensuring accuracy, compliance, and timely resolution of driver issues.
Job Responsibilities
- Prepare and process payroll for drivers by accurately entering, maintaining, and updating trip data, hours, mileage, and other compensation-related information in the payroll system.
- Coordinate with drivers to resolve various issues related to payroll, trips, deductions, reimbursements, and documentation.
- Ensure accurate calculation and processing of driver deductions such as fuel charges, toll deductions, insurance, penalties, or other authorized adjustments.
- Manage reimbursement processes for drivers, including fuel, toll, lodging, and other trip-related expenses, ensuring proper documentation and approvals.
- Conduct regular audits of driver trips to verify trip sheets, mileage, expenses, route accuracy, and compliance with internal policies.
- Maintain updated records for all drivers, including new joiner data, changes in assignments, route allocations, terminations, and reactivations.
- Reconcile driver payroll with trip records, expense reports, and system data to ensure accuracy before finalizing payroll.
- Respond promptly to driver queries related to payments, deductions, trip audits, reimbursement status, or other compensation matters.
- Work closely with operations and fleet management teams to ensure accurate communication and resolution of driver issues impacting payroll.
- Generate payroll reports, audit results, and reconciliation summaries as required by management.

- Strong organizational skills and excellent attention to detail.
- Good mathematical and analytical abilities to handle payroll calculations.
- Ability to identify discrepancies and resolve errors efficiently.
- Understanding of driver payroll components such as trip-based pay, mileage, allowances, and statutory deductions.
- Ability to multitask and meet strict payroll deadlines.
- Experience using payroll software or fleet/transport management systems (preferred).
- Proficient computer skills, especially in Microsoft Excel, Word, and Outlook.
- Strong communication skills to coordinate effectively with drivers and internal teams.
- Ability to maintain confidentiality and handle sensitive payroll data responsibly.
