Overview:
The Payroll Systems & Timekeeping Analyst is an important member of the Accounting Department with responsibilities for accurate and timely compensation to over 3,500 recurring employees through recurring bi-weekly payroll runs and ensuring overall regulatory and organizational compliance for AHRC Nassau and its Affiliates. Services are provided to affiliated organizations pursuant to a Corporate and Administrative Services Agreement.

The Payroll Systems & Timekeeping Analyst maintains system-wide functionality for Time and Attendance applications while supporting the timely and accurate processing of bi-weekly payroll cycles. Additionally, the position will be responsible for organizing, developing, and implementing all facets of time and attendance onboarding projects to support the Payroll, Human Resources Information Systems (“HRIS”) and Information Technology (“I/T”) departments.

The Payroll Systems & Timekeeping Analyst collaborates with various departments to ensure seamless payroll operations and provides exceptional service to employees regarding payroll timekeeping inquiries. The Payroll Systems & Timekeeping Analyst will possess a strong technical payroll background with significant emphasis on regulatory compliance and internal controls. The Payroll Systems & Timekeeping Analyst will support the continuous evaluation of the time and attendance functions to transform the department through increased use of technology and development of policies.

Responsibilities:
Primary duties and responsibilities include but not limited to:
  • Implement and manage Time and Attendance systems, including project execution, testing, and integration with payroll applications.
  • Serve as a liaison between HRIS, IT, and Payroll to ensure effective system performance and coordination.
  • Oversee onboarding for new programs, including time clocks, payroll setup, and employee enrollment.
  • Maintain and troubleshoot time clocks, swipe cards, and user access to ensure system accuracy and functionality.
  • Generate and distribute daily system and down-clock reports; coordinate site visits for clock maintenance as needed.
  • Develop, schedule, and conduct payroll training sessions for staff and program supervisors.
  • Provide ongoing support and guidance to payroll and program personnel regarding Time and Attendance procedures.
  • Process and review biweekly payroll data, including timecards, overtime, adjustments, and leave-related payments.
  • Audit and reconcile payroll batches, CSV files, and reports to ensure accuracy before transmission.
  • Investigate and resolve employee pay discrepancies and system issues promptly.
  • Assist the Payroll Manager with internal audits, compliance reviews, and maintaining adherence to DOL and IRS regulations.
  • Generate reports and support compliance, education, and process improvement initiatives across payroll and Time and Attendance functions.

Physical Demands/Work Environment:
This position requires periodic travel to various work sites to assess, maintain, and troubleshoot Time and Attendance equipment (e.g., time clocks) and to provide on-site training or support as needed. The role may involve occasional lifting or handling of time clock devices and related materials. Regular office work includes extended periods of computer use, report generation, and communication with staff across multiple departments.
Qualifications:
Education and/ or experience required:
  • College degree plus
  • 5 years’ relevant comprehensive experience with Payroll Time & Attendance, timekeeping, and payroll applications
  • Consider a Plus (Preferred):
    • Certified Payroll Professional (CPP) or related certification
    • Experience processing payroll for multi-employer payroll within the Intellectual and Developmental Disabilities (IDD) or Social Service sector.
    • Experience within Kronos Dimensions/WFM, UKG Pro, ADP E-time, Sage Intacct software


Skills, Licenses and/ or competencies required:
  • Strong understanding of federal, state, and local payroll regulations and compliance requirements for payroll timekeeping systems.
  • Demonstrated proficiency with Microsoft Office, including Excel and Word required, along with ability to prepare reports, summaries and analysis, and recommendations.
  • Demonstrated project management skills.
  • Good professional written and verbal interpersonal and communication skills – ability to relate and clearly communicate with operating management, financial staff, and other departments.
  • Professional abilities to pay attention to detail, solve problems, develop, and implement solutions. Ability to initiate projects, prioritize and complete tasks on a timely basis with minimal supervision.
  • Strong work ethic exhibiting a sense of urgency in completion of tasks, willingness to work a flexible schedule, including evenings and occasional weekend work.
