Job Overview

We're looking for a proactive People & Ops Manager to build and manage the people and process engine of the business. You'll work directly with the Head of Operations to take HR, internal operations, and learning & development off her plate and into your hands. This role is all about execution. You’ll build simple systems, keep everything running smoothly, and make sure our people and processes are performing — so the rest of the team can focus on delivery and growth. You’ll thrive here if you love building structure, follow up without being chased, and can confidently hold others accountable while keeping things human.

Key Responsibilities

As the People & Ops Manager, your main responsibilities will include:

  • HR & People Ops: Manage all hiring logistics (CV screening, interview scheduling, offer letters). Maintain employee records and contract templates. Own onboarding/offboarding workflows (checklists, tech setup, Day 1 planning). Track performance reviews and probation periods. Serve as the first point of contact for HR queries (leave, contracts, sickness). Ensure compliance with policies, documentation, and handbooks.

  • Learning & Development: Own the internal training calendar and the Training Needs Analysis (TNA) process. Maintain onboarding documents, role scorecards, and SOPs. Track completion of 1:1s, learning sessions, and training cadences. Support career development tracking and promotion reviews.

  • Business Ops: Own the team’s operating rhythm (meetings, agendas, reminders). Prep for leadership meetings, capture notes, and track actions. Manage and audit the tool stack (ClickUp, Notion, Slack, HR tools). Keep ClickUp dashboards clean, consistent, and useful. Document internal processes into SOPs. Spin up new processes with stakeholder input within 24 hours of a gap or idea being identified. Train teams on new processes to ensure quick adoption. Line manage the VA.

  • Admin & Culture: Plan virtual socials and team events. Run bi-monthly pulse surveys and highlight themes. Track birthdays, anniversaries, and key milestones. Support the Head of Operations on priority projects and business hygiene.

Required Qualifications

To succeed in this role, you should possess the following qualifications and skills:

  • Experience & Execution: Proven experience in an HR or Operations role with a strong focus on execution and system building. A track record of streamlining processes and ensuring operational efficiency.

  • Organizational & Management Skills: Excellent organizational skills with the ability to manage multiple priorities and deadlines. Experience in managing administrative tasks and supporting a team's operational needs.

  • Communication & Accountability: Strong communication skills, both written and verbal, with the ability to confidently hold others accountable while maintaining a supportive and human approach.

  • Tech Proficiency: Familiarity with tools like Slack, ClickUp, Google Workspace, Notion, Loom, and HR tools (e.g., HiBob). Ability to quickly learn and adapt to new software.

  • Problem-Solving & Proactivity: A proactive mindset with the ability to identify gaps, propose solutions, and implement new processes swiftly.

  • Detail-Oriented: High attention to detail in managing records, workflows, and compliance.

Preferred Skills

  • HRIS Experience: Direct experience with a Human Resources Information System (HRIS) like HiBob or similar platforms for managing employee data and HR workflows.

  • Project Management Tools: Advanced proficiency in project management tools, particularly ClickUp, including creating and maintaining dashboards, workflows, and SOPs.

  • Learning & Development Program Design: Experience in designing or implementing internal training programs and learning initiatives.

  • Process Improvement Methodologies: Familiarity with lean methodologies or other process improvement frameworks.
