Job Purpose
Reporting to the Planning and Warehousing Lead, the Compliance Specialist manages and co-ordinates the quality and safety activities related to Planning, Warehouse, procurement, Purchasing. This also includes the Inventory management (Cycle counting) process in warehouse, the adherence to processes, Deviation Management, QA considerations, planning and warehouse activities, process related to compliance with EHS, inventory, training & development, and capabilities management across the team.
Creates integrated processes among internal functions such as warehousing, logistics, operations, quality and EHS. Focuses resources on continuous improvement of the movement of materials through various production processes and establishes key performance metrics and benchmarks against goals regularly.
Key Responsibilities
  • Ensure a safe, secure, and clean work environment for Planning and warehousing employees.
  • Ensure the E2E Planning and warehousing operations in alignment with site standard operating procedures.
  • Assure Safety and Compliance is followed in all aspects of daily operations – Direct oversight in these areas is critical with circulating the daily report having thorough update for the senior management.
  • Be responsible to lead risk and gaps assessments, develop and deploy them, to be robust and in compliance with IBM audit, and pass it with a successful score. It will also be responsible to lead and implement CAPAs (Corrective and Preventive Action) coming out of the audit.
  • Responsible for monitoring and maintaining the TPRMs of the related suppliers.
  • Responsible to maintain and frequent monitoring of the PIR and QIR related to all materials (Direct and indirect)
  • Lead the annual internal audits, deep dive into the findings, and work with the Planning and warehousing team or other departments to agree on corrective and preventive actions.
  • Participate in the deviation governance meetings and change control meetings and support warehouse/planning teams as an SME on investigations and actions as a result on deviations of site processes and procedures.
  • Ensuring weekly and monthly reports on the aged invoices pertaining to the advances given through PSID /POR.
  • Tracking and having follow ups on the invoice/bill’s submission from third party service providers.
  • Responsible for performing the RCA in case of any deviations and events.
  • Responsible for monitoring the governance of internal inspections (L1 and L2) with effectiveness of the forum and closure of the CAPAs found.
  • Ensure operational compliance with labor laws and conduct regular stakeholder sessions on labor law adherence.
  • Ensure DRA (Distribution risk assessment) compliance with import/export policies of applicable countries
  • Ensure Warehouse/Planning teams are completing learnings, periodic reviews, changing controls, CAPAs, ZAPs, and different trainings/activities related to compliance through KPI publishing and monitoring in governance of HAPs implementation.
  • Ensure frequent monitoring and updating the SAP master data setups and data health checks by circulating the daily/weekly and Monthly reports.
  • Responsible for regular participation in Planning and warehousing COPs and project management.
  • Ensure to monitor the CAPEX /OPEX compliance with EPIP monitoring.
  • Responsible for managing the CRF pertaining to planning and warehousing also for cross functional tasks.
  • Supports high inventory turnover and inventory accuracy through strategies and initiatives. Support warehouse team with cycle count process, internal and/or external audits, and keep track of monthly progress and adjustments.
  • Own the Material Review Process from the warehouse to identify Slow Movers and Obsolete Materials and work with the planners, material schedulers and other departments involved for prompt disposition and / or to capture actions for risk mitigation.
  • Support year end shut down activities such as rack inspections, cycle counts, physical inventory, and other improvement activities.
  • Support and monitor the contract managements related planning and warehouse including the services required in view of cross-functional tasks or business requirements.
  • Responsible for ensuring readiness of the area for regulatory and other inspections with preparation of slide decks (ppt).
  • Knowledge and experience with material handling techniques, forklift and material moving equipment, methods, and procedures used in a distribution, manufacturing, or industrial environment.
  • Proven experience in safety, quality, and inventory management.
  • Proficient with Enterprise Resource Planning (ERP) systems and Excel. PowerBI preferred.
  • Ability to influence with or without authority.
  • Strong end-to-end understanding of supply chain activities in a manufacturing environment

Skills & Competencies:
  • Bachelor's degree in supply chain, or Business
  • 5+ years of relevant experience Planning, Logistics and Warehousing environment
  • Role requires a deep knowledge of SAP systems and continuous improvement processes. Deep analytical / investigative skills and knowledge of flow principles in a manufacturing environment.
  • Proven experience in safety, quality, and inventory management. Proficient with
  • Enterprise Resource Planning (ERP) systems and Excel. PowerBI preferred
