Overview
We are seeking a proactive and detail-oriented Prelitigation Assistant to join our legal support team. This vital role involves managing a variety of administrative and project coordination tasks to streamline prelitigation processes. The ideal candidate will demonstrate exceptional organizational skills, case management skills, and a passion for supporting individuals in need. Duties
- Maintaining a pre-litigation case load of personal injury cases ranging from minor automobile collisions to catastrophic injuries and death.
- Excellent knowledge in obtain medical and billing records.
- Strong oral and written communication skills.
- Proficient in preparing demand letters.
- Must be able to multi-task, manage time sensitive documents and have excellent organizational skills.
- Willing to work in a busy team environment.
- Maintaining client database and client files.
- Calculating and calendaring case related deadlines.
- Proficient in resolving property damage claims.
- Communicating effectively with clients, opposing counsel, opposing party, and/or third parties.
- Proficient in Microsoft Office/Outlook. Knowledge of CasePeer a plus
- Manage all aspects of office administration related to prelitigation cases, including filing, data entry, and maintaining organized case files both physically and electronically.
- Assist with client communication via phone, email, and written correspondence, ensuring professional phone etiquette and prompt responses.
- Prepare accurate documentation through proofreading, transcription, and data entry to ensure all case-related materials are clear and error-free.
- Facilitate project coordination by tracking deadlines, preparing reports, and coordinating with internal teams to ensure timely case progression.
- Handle front desk responsibilities as needed, including multi-line phone system management, greeting visitors, and managing office supplies to maintain a smooth office environment.
- Perform clerical tasks such as filing, photocopying, scanning documents, and maintaining organized records for easy retrieval.
- Provide executive administrative support by managing calendars, scheduling appointments, and assisting with special projects as assigned.
- Bilingual in English/Spanish preferred.
- Minimum 3 years Plaintiff Personal Injury experience required.
