We are seeking a dynamic and experienced Professional Law Firm Administrator to manage, enhance, and expand our firm's operational infrastructure. The ideal candidate will be a proactive leader with a strong background in law firm administration, operations, and growth planning. This role will oversee critical areas such as HR, brand management, legal operations, finance, vendor relations, and overall strategy execution to support the firm's long-term objectives. The Legal Administrator keeps the Firm’s needs in the forefront and works closely with the Founder, Office Manager, and fractional C-suite, with daily contact with a variety of office staff and attorneys.
This position is a primary driver of leadership, culture, and problem-solving. We are seeking an experienced law firm professional with excellent judgment, knowledge, and discretion who understands the pace of law firm management and how to prioritize urgent items.
Compensation:
$85,000+ dependent on experience
Responsibilities:
Human Resources

Oversee recruitment, onboarding, and retention processes; handle offboarding as needed.

Develop and implement training programs to foster professional growth and align with firm objectives.

Design, track, and analyze key performance indicators (KPIs) and job descriptions for staff and implement performance improvement initiatives.

Create and manage compensation structures that align with the firm’s strategic goals.

Execute and update/maintain HR policies and handbook, and employee relations; identify areas needing improvement.

Lead monthly staff meetings, including preparation of appropriate content.
Brand Management
-
Manage and enhance client relations strategies to ensure exceptional client experiences.

Oversee business development initiatives, including networking, partnerships, and event participation.

Direct marketing efforts, including website management, social media, public relations, and promotional campaigns.

Support rainmaker activities by providing strategic and administrative assistance.

Execute initiatives set forth by the fractional COO to implement and staff an Intake department to facilitate retaining new business.
Legal Operations/Quality Control

Partner with the COO to evaluate, procure, and implement software and technology solutions to improve legal service efficiency.

Develop and maintain templates, workflows, checklists, and how-to guides to ensure consistent quality and performance.

Monitor and enhance operational processes to deliver high-quality and efficient legal services; identify areas of operational improvement and implement solutions.
Finance and Accounting Support

Collaborate with bookkeeping and accounting teams to ensure accurate financial tracking and reporting.

Support invoice generation, payment applications, and other financial operations.

Leverage financial insights to guide decision-making across HR, operations, and growth initiatives.
Vendor Relations

Manage vendor procurement processes, including evaluation, negotiation, and ongoing vendor relationships.

Ensure vendor services align with firm goals and deliver value to the organization.

Oversee IT services vendor, evaluate technology purchases and contracts.
Growth Strategy and Execution

Develop and execute strategies that align with the firm’s long-term growth objectives as outlined by the Founder and fractional COO in the firm’s business plan and budget; contribute to developing future initiatives.

Integrate growth-focused planning into daily operations across all areas of responsibility.

Monitor and report on progress toward strategic goals.
Qualifications:-
Bachelor’s degree in Business, Management, Accounting (or equivalent experience).

Proven experience in law firm administration or a similar professional services environment.

Strong leadership, organizational, and interpersonal skills.

Proven track record in team management and human resources leadership.

Exceptional project management skills; ability to balance competing priorities while maintaining attention to detail.

Strong analytical mindset with expertise in KPI development and process improvement.

Proficient in legal and business software applications and technology solutions.

Financial acumen and experience working with bookkeeping or accounting teams.
