Position Summary
The Project Manager is responsible for overseeing the operations, maintenance, and project execution for the Kiely family’s personal residences. This role functions as an estate-focused property and project manager, ensuring all properties are maintained in excellent condition through proactive maintenance, timely repairs, and efficient coordination of vendors and contractors. The Project Manager also manages renovation and design projects and supports the broader commercial and residential real estate portfolio as time allows. The role reports directly to the Director of Real Estate.
Responsibilities:
• Oversee daily operations and maintenance of all personal residences to ensure optimal condition and functionality.
- Coordinate all scheduled, preventive, and emergency repairs across properties.
- Manage renovation, improvement, and design-related projects from planning through completion.
- Source, schedule, and supervise subcontractors, vendors, and service providers.
- Conduct regular property inspections and maintain maintenance logs and project records.
- Ensure all work is completed efficiently, safely, and within approved budgets.
- Collaborate directly with family members, household staff, designers, and external professionals.
- Provide support for the Kiely Family of Companies’ commercial and residential real estate portfolio during periods of low residential demand.
- Communicate regularly with the Director of Real Estate regarding project status, issues, and upcoming needs.
- Assist with preventive maintenance scheduling and ensure PM completion adherence.
- Enforce shop safety rules and maintain a clean, organized work area; participate in toolbox talks and safety audits.
- Serve as the floor point-of-contact to free mechanics from administrative interruptions.
- Assist in training and mentoring technicians on the best documentation practices and minor workflow improvements.
Competencies- Ability to plan, coordinate, and execute multiple projects simultaneously with attention to detail.
- Understanding of residential systems (HVAC, electrical, plumbing, structural, landscaping, etc.).
- Skilled in sourcing, negotiating, scheduling, and supervising service providers.
- Strong ability to respond quickly to emergencies, prioritize tasks, and develop practical solutions.
- Capable of estimating costs, tracking expenses, and managing projects within financial guidelines.
- Professional, clear communication with family members, staff, and external partners.
- Maintains strict confidentiality and demonstrates professionalism in all interactions.
- Strong ability to manage schedules, documentation, service records, and project timelines.
- Comfortable shifting between residential management priorities and support for the broader real estate portfolio.
