ABOUT THE POSITION
Pegasus Technology Solutions (PTS) is seeking a highly organized and proactive Project and Quoting Specialist to lead and manage the delivery of IT projects and create precise, competitive quotes for clients. This position combines project coordination, client communication, and cost estimation to ensure successful project outcomes and client satisfaction within the PTS Professional Services team. The role requires technical knowledge, strong organizational skills, and the ability to collaborate with internal teams and clients. This role is critical in delivering the elevated “Nordstrom Experience” that PTS is known for and directly supports both operational efficiency and client satisfaction.
Project and Quoting Specialist Key Responsibilities:
Client Coordination
· Coordinate monthly and/or quarterly client updates in terms of scheduling and providing key updates on projects for the client.
· Support vCIO to help manage client updates which might be monthly or quarterly. Some client interactions could be weekly for specific projects or deliverables.
· Support client retention initiatives.
Project Coordination and Management
· Plan, coordinate, and manage Managed Services projects with internal and external resources.
· Develop, document, maintain, project timelines, milestones, and deliverables in collaboration with internal and external technical teams and clients.
· Monitor project progress, ensuring adherence to scope and timelines.
· Communicate project status updates to stakeholders, addressing any issues or risks promptly.
· Lead the project review board and regularly scheduled project updates.
· Coordinate with vendors, technicians, and other departments to ensure resource availability and project success.
Quoting and Proposal Development
· Prepare detailed, accurate, and competitive quotes for IT services, hardware, software based on client requirements. Primary duties include hardware refresh, hardware upgrades, end of life projects, third party supported projects for migration, data, and other general projects Managed Services. Manages Services quoting will be done in conjunction with the vCIO and the operations MSP quoting team.
· Help analyze client needs and collaborate with the technical teams.
· Ensure quotes align with company pricing strategies, profit margins, and service-level agreements (SLAs).
· Present proposals internally addressing questions and ensuring quotes are complete and accurate.
· Maintain up-to-date knowledge of vendor pricing, licensing models, and industry trends to ensure cost-effective solutions.
Managed Services Support
· As required, support Managed Services in the resolution of incidents, ticket resolution, or client support.
· Ensure all Managed Services processes are followed per the Managed Services procedures and guidelines.
· Support requested activities to help ensure client satisfaction.
· Provide operations backup support to the quoting team, as required.
Technical Documentation & Standardization
· Maintain and improve work plans along with the internal technical team to help simplify quote generation and ensure consistency in quoting repetitive work.
· Maintain and improve documentation quality and structure within ITGlue, ensuring accuracy, consistency, and usability across the team.
· Vet and validate all onboarding-related documentation before finalization.
· Conduct quarterly documentation reviews with each client’s point of contact to ensure all user, devices, and environment information remains accurate and complete.
· Partner with internal stakeholders, including the vCIO & MSP teams, to surface opportunities for client improvement and support strategic business reviews.
PTS Toolset Expertise
· Become a subject matter expert in all PTS internal toolsets, assisting with implementation, troubleshooting, and team training.
· Collaborate with internal teams to ensure tool documentation is kept current and relevant as the technology stack evolves.
· Serve as a backup lead for tooling operations, supporting the team in the absence of the primary toolset owner.
· JOB REQUIREMENTS
· 2+ years of experience in project coordination, quoting, or a similar role within an MSP or IT services environment.
· Strong understanding of quoting processes and MSP best practices.
· Proficient in technical documentation, with a keen eye for detail and process improvement.
· Strong communication skills, both written and verbal.
· Client-first mindset with the ability to deliver polished, white-glove service experiences.
· Self-motivated and able to manage multiple priorities in a fast-paced environment.
· Strong organizational and time-management skills to handle multiple projects and deadlines.
· Analytical mindset with attention to detail for accurate quoting and cost estimation.
