Position Summary
The Purchasing Specialist is responsible for sourcing, purchasing, and coordinating the delivery of maintenance, repair, and operating (MRO) supplies required across Gold Creek Foods’ processing plants and administrative locations. This role ensures timely material availability, supports facility and department needs, maintains strong supplier relationships, and contributes to cost-effective purchasing operations.
Key Responsibilities
Procurement & Purchasing:
- Create purchase orders for required MRO materials, tools, and supplies.
- Order materials in a timely manner to meet maintenance and production schedules.
- Obtain competitive quotes and negotiate pricing when appropriate.
- Secure and maintain vendor documentation and manage vendor setup requests.
- Provide required documents to vendors (tax exemption, insurance, tax ID, etc.).
- Obtain vendor audits, Letters of Guarantee, COAs, and other documentation required for internal and customer audits.
Inventory Control
- Monitor inventory levels to prevent shortages and overstocks.
- Support cycle counts and ensure ERP/CMMS inventory records remain accurate.
- Partner with warehouse staff to reconcile receipts, discrepancies, or damaged goods.
- Track availability of critical operational items and escalate risks when needed.
Supplier & Logistics Coordination
- Monitor and communicate order confirmations, shipment notifications, and delivery timelines.
- Resolve supplier issues, including delays, damaged shipments, and invoice discrepancies.
- Maintain productive vendor relationships focused on reliability and value.
Internal Service & Communication
- Support maintenance and operations teams by responding to material requests.
- Provide timely updates on order status, delays, and expected delivery dates.
- Assist with urgent or expedited orders when operational needs arise.
Cost Management
- Identify cost-saving opportunities through alternative vendors, product consolidation, and competitive quoting.
- Review vendor billing regularly and collaborate with Accounts Payable on discrepancies.
- Develop and maintain inventory min/max levels to balance cost, efficiency, and uptime.
- Use preferred suppliers to maintain specification standards and pricing control.
- Adjust facility purchase requests to reflect lowest-cost and preferred-vendor options.
- Reduce inbound freight expenses through proactive communication and inventory management.

Qualifications
Required:
- High school diploma or equivalent.
- 1–3 years of experience in purchasing, inventory, supply chain, or administrative support.
- Experience using ERP/CMMS systems (e.g., SAGE, MVP).
- Proficiency in Microsoft Excel and Outlook.
- Accurate data entry skills.
- Strong organizational and communication abilities.
- Ability to multitask effectively in a fast-paced environment.
Preferred
- Experience in manufacturing, maintenance, warehousing, or industrial supply environments.
- Familiarity with MRO materials, industrial components, or maintenance processes.
- Basic understanding of procurement terminology and supply chain concepts.
- Associate degree.
- Supply chain or manufacturing-related certifications.

Physical Requirements
- Ability to sit, stand, and walk for extended periods in an office or warehouse environment.
- Occasional lifting of light to medium materials (up to approximately 35 lbs).
- Ability to perform warehouse walk-throughs, inventory checks, and supplier inspections.
- Use of computer systems, phones, and standard office equipment.
