The Receptionist will be responsible for managing the front desk, handling client inquiries, coordinating appointments, and supporting the administrative team. This role requires excellent communication skills, a positive attitude, and the ability to handle sensitive client information with confidentiality and care.
Key Responsibilities:
- Greet and welcome clients and visitors in a professional and friendly manner.
- Manage incoming phone calls, emails, and walk-in inquiries, directing them to the appropriate departments.
- Schedule and confirm client appointments and follow up on rescheduling or cancellations.
- Maintain a clean and organized reception area.
- Assist in preparing and organizing client documents and application files.
- Provide general administrative support, including photocopying, scanning, filing, and data entry.
- Maintain records of client interactions and update client databases as required.
- Ensure that all client queries are addressed promptly and efficiently.
- Coordinate with consultants and case officers to facilitate smooth operations.
- Monitor and order office supplies as needed.
Qualifications & Requirements:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Proven experience as a receptionist, front desk officer, or administrative assistant (experience in immigration/visa consulting is a plus).
- Excellent verbal and written communication skills in English; knowledge of additional languages is a plus.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office management systems.
- Ability to maintain confidentiality and handle sensitive information.
- Customer-service orientation and a pleasant demeanor.
