Job Summary
We are seeking a professional and organized Receptionist to join a large, reputable law firm. The ideal candidate will serve as the first point of contact for clients and visitors, manage administrative tasks efficiently, and support office operations. This role requires excellent communication skills, strong organizational abilities, and proficiency with office software. Bilingual skills are a plus to assist diverse client needs. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations within the firm.

Responsibilities

  • Greet clients, visitors, and staff in a courteous and professional manner at the front desk
  • Manage multi-line phone systems, direct calls appropriately, and handle inquiries with excellent phone etiquette
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and confidentiality
  • Handle incoming and outgoing correspondence, including mail distribution and email management
  • Maintain office supplies inventory and coordinate with vendors as needed
  • Support administrative tasks such as billing, bookkeeping via QuickBooks, and basic office management duties
  • Assist with customer support by addressing client questions or concerns promptly
  • Support other clerical duties including typing, document preparation, and record keeping

Qualifications

  • Proven experience in office administration, clerical work, or reception roles within legal or professional services environments
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, data entry, and general office software
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional customer service skills with professional phone etiquette
  • Ability to handle confidential information discreetly and professionally
  • Bilingual abilities are preferred to serve diverse client populations effectively
  • Experience with Office management systems such as multi-line phone systems or calendar management tools is desirable
  • Prior experience in medical or dental receptionist roles is a plus but not required
  • Strong typing skills and attention to detail for proofreading documents and managing correspondence

Pay: $24.00 - $25.00 per hour
