To provide administrative and operational support across the departments and teams; ensuring processes, services are completed and delivered accurately, efficiently, and meet compliance requirements of Narjis.
Job Accountabilities
- Manage the activities of recruitment with external agencies; find new agencies, compare the prices, schedule interviews, update all activities in the Zoho system, and assist with other recruiting administrative support.
- Ensure a positive onboarding experience by assisting with new hire processes; booking flight tickets, employee pick up from the airport, coordinating accommodation, orientation, Absher, Tawakkalna, bank account, and managing the employee delivery processes to clients.
- Provide customer service and employee relations support while maintaining the daily recordings, and log and document issues and resolutions in the Zoho system.
- Design and implement new employee growth and development programs, such as employee mentorship programs, and cross training opportunities.
- Provide first line support for employee inquiries regarding operations, services, and processes; escalates complex inquiries when necessary.
- Manage vacation programs such as vacation planning, tracking, compliance, and assisting in preparing related documents.
- Monitor employees' residency (Iqama) status and submit renewal requests to the Government Relations Officer in a timely manner to ensure full legal compliance.
- Help set up and coordinate employee appreciation events and other service center celebrations.
- Manage and supervise staff accommodation.
- Participate in quality assurance activities.
- Conduct exit interviews, summarize findings, and discuss trends and concerns with the management.
- Manage flight ticketing with approved agencies (New Comer / Re Entry / Final Exit / business trips).
- Manage the full cycle of company purchases.
- Place and update all job postings in various media including online recruitment platforms, recruitment agencies, social media & networks, community boards, and staffing partners.
- Build a hiring strategy that meets business needs and clients' expectations, including diversity, talent brand, and operational excellence.
- Coordinate and handle visits to foreign embassies when required.
- Follow up with agencies regarding employee data and visa matters to ensure all records and processes are up to date.
- Perform all other tasks and duties as assigned.
Qualifications and Requirements
- Bachelor degree in human resources management or equivalent, MBA is a plus.
- 5+ years of experience in an operational role of similar capacity.
- Proficient in Microsoft Office software and ERP system.
- Professional in English.
