Position Summary
The Purchasing Manager is responsible for supporting the procurement of cannabis products, supplies, and equipment necessary for retail and operational needs. This role works closely with the Retail Ops and Purchasing Director to ensure optimal inventory levels, competitive pricing, and strong vendor relationships. You will analyze purchasing data, process orders, maintain vendor communications, and support the overall procurement strategy while ensuring compliance with cannabis regulations.

Key Responsibilities

  • Process purchase orders for cannabis products, retail supplies, and operational equipment
  • Source and evaluate potential vendors and suppliers for quality, pricing, and reliability
  • Negotiate pricing, terms, and contracts with vendors
  • Maintain accurate records of all purchasing activities, vendor agreements, and pricing structures
  • Monitor inventory levels and place orders to prevent stockouts while minimizing excess inventory
  • Track and analyze purchasing trends to identify cost-saving opportunities

Vendor Management

  • Build and maintain strong relationships with cannabis cultivators, manufacturers, and suppliers
  • Communicate order specifications, delivery schedules, and quality requirements to vendors
  • Coordinate with vendors to resolve order issues, delivery delays, or product quality concerns
  • Conduct vendor performance evaluations and maintain vendor scorecards
  • Stay informed about new products, suppliers, and industry innovations
  • Participate in vendor meetings, trade shows, and industry events as needed

Inventory & Supply Chain Support

  • Collaborate with retail, cultivation, and manufacturing teams to forecast product needs
  • Monitor product performance and sales data to inform purchasing decisions
  • Coordinate with warehouse and inventory teams to ensure proper receiving and storage
  • Support inventory audits and cycle counts as needed
  • Maintain minimum and maximum inventory levels for all product categories

Cost Analysis & Reporting

  • Analyze pricing trends and market conditions to optimize purchasing decisions
  • Prepare reports on purchasing activities, cost savings, and vendor performance
  • Track budget expenditures and identify opportunities for cost reduction
  • Maintain pricing databases and ensure accurate cost information in systems
  • Support month-end purchasing reconciliation and reporting

Experience

  • 1-3 years of purchasing, procurement, or supply chain experience
  • Experience in cannabis industry preferred but not required
  • Retail or manufacturing purchasing experience a plus
  • Strong understanding of inventory management principles

Skills & Competencies

  • Strong analytical skills with ability to interpret data and make informed decisions
  • Excellent negotiation and communication skills
  • Detail-oriented with strong organizational and time management abilities
  • Proficiency in Microsoft Excel, including formulas, pivot tables, and data analysis
  • Ability to work independently and collaboratively in a fast-paced environment
  • Strong problem-solving skills and proactive approach to challenges
  • Professional demeanor with strong vendor relationship management skills
  • Ability to handle multiple priorities and meet deadlines

Required Certifications & Eligibility

  • Must be at least 21 years of age
  • Ability to obtain and maintain state cannabis Agent ID card
  • Must pass comprehensive background check as required by state cannabis regulations
  • No disqualifying criminal convictions as defined by state Medical/Adult-Use Cannabis Program
  • Valid driver's license preferred for occasional vendor visits

Physical Requirements

  • Ability to work in an office environment for extended periods
  • Occasional warehouse visits may require standing, walking, and lifting up to 25 pounds
  • Ability to work standard business hours with occasional flexibility for vendor meetings
  • Minimal travel required (less than 10%)

Pay: $65,000.00 - $70,000.00 per year
