Job Purpose:


The Senior Sales Coordinator is responsible for managing the sales order process, ensuring accurate documentation, and preparing reports to support the sales team. This role involves creating sales order contracts, matching purchase orders (POs) with sales orders, and maintaining accurate data records to enhance operational efficiency and other Admin work.


Key Accountabilities:


Operational:

  • Sales Order Management:
  • Create and manage sales order and contracts on SAP, ensuring alignment with company policies and client requirements.
  • Review and verify purchase orders (POs) against sales orders for accuracy and completeness.
  • Service admin work.
  • Billing Admin work.
  • Documentation Coordination:
  • Ensure all sales-related documentation is complete, accurate, and properly filed.
  • Coordinate with relevant departments to obtain necessary approvals and documentation for sales orders.
  • Data Management:
  • Maintain and update sales data in relevant systems, ensuring data integrity and accuracy.
  • Analyze and organize data to facilitate efficient access and reporting.
  • Report Preparation:
  • Prepare and distribute regular sales reports, including order status, sales performance, and key metrics.
  • Provide insights and analysis based on data to support decision-making within the sales team.
  • Collaboration and Support:
  • Collaborate with the sales team to ensure smooth operations and effective communication.
  • Assist in addressing any issues related to orders, contracts, and documentation.
  • Process Improvement:
  • Identify opportunities for process enhancements to improve efficiency in sales order management.
  • Implement best practices to streamline workflows and reduce turnaround times.
  • Customer Interaction:
  • Communicate with clients as needed to clarify order details, resolve discrepancies, and ensure satisfaction.
  • Support the sales team in managing customer inquiries and providing necessary information.



Qualifications and Experience:

Minimum Qualifications: Diploma or bachelor’s degree.

Minimum Experience:

2 years of experience in sales coordination or a related role.

Skills:

  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and relevant sales software applications.
