Role Overview
We’re hiring a
Receptionist with a sales backbone
to be the face of our Riyadh office
and
a hands-on sales coordinator. Beyond front-desk excellence, you will support prospecting, client meetings, and proposal prep—sometimes attending meetings with the Company Chairman and joining client visits. You’ll help prepare presentations and occasionally
pitch
to clients, so a
strong sales/agency background
and polished communication are essential.
Key Responsibilities
Front Desk & Office Coordination (20%)
-
Run reception: greet guests, manage calls/emails, visitor sign-in, couriers/logistics.

Calendar/rooms: schedule meetings, prep agendas, print packs, arrange refreshments.

Office ops: supplies, access cards, vendor follow-ups, basic travel support.

Minutes (as required): capture actions/owners/due dates and circulate.
Sales Coordination & Client Support (20%)

Act as
sales coordinator
: maintain leads, update CRM, prepare follow-ups and call notes.

Prepare
presentations, capability decks, case studies, and proposals
(PowerPoint/Keynote).

Support
guest lists/RSVPs
for activations; coordinate with suppliers for demos/samples.

Track
quotations, POs, invoices
with Finance; keep deal folders audit-ready.
Executive & Client Interface (20%)
-
Join
client meetings
with the Chairman/executives; take notes, align next steps, and drive follow-ups to closure.

Participate in select
pitches
and site/office visits; represent the brand professionally.

Uphold confidentiality (NDAs, contracts) and follow document control protocols.
HR Support 40%
-
Set up
reminders, meetings, and follow-ups
for the HR Department and HR Manager.
-
Coordinate with department heads to schedule interviews, reviews, and internal HR meetings.
-
Create, update, and monitor
ClickUp tasks
for all HR-related activities (recruitment, onboarding, employee records, performance evaluations, etc.).
-
Ensure all ClickUp tasks have accurate timelines, ownership, and completion status updates.
-
Ensure all
employee files
(physical and digital) are
properly scanned, labeled, and stored
in the company’s HR archive.

Verify that each file includes a complete set of documents: passport, visa, contract, offer letter, performance reviews, leave records, etc.

Provide
personal and professional assistance
to the HR Manager, including documentation, scheduling, travel coordination, and communication follow-ups.

Support in
preparing reports, letters, memos, and official correspondence
as required.

Ensure all HR initiatives, communications, and tasks assigned by the HR Manager are executed efficiently and on time.

Assist in
onboarding and offboarding
procedures.

Support in
HR policy implementation, communication, and tracking
.

Coordinate with employees and management for data collection and updates (attendance, performance feedback, etc.).
-
Handle confidential information with utmost discretion and professionalism.
-
Act as the
first point of contact
for internal HR communications and employee queries.
-
Ensure smooth coordination between HR, Admin, and Finance departments for approvals and submissions.
-
Prepare HR announcements, memos, and notifications as directed by the HR Manager.

Prepare weekly and monthly HR activity summaries for the HR Manager’s review.
Requirements
-
Bachelors degree in Sales and Marketing OR HR
-
Excellent English
(spoken/written); Arabic a plus.
-
1–3 years in
events/agency
or corporate front office.

MS Office/Google Workspace; polished email/phone etiquette.

Organized, calm under pressure, service-oriented, and discreet.

Hands on experience in handling Click up
Preferred Skills (Nice to Have)

Experience in
large-scale international events
or exhibitions Or Construction .

Strong reporting and analytical skills to measure event brand impact.
