JOB OVERVIEW — Field Appointment Dispatcher / Sales Operations Coordinator
Proper Roofing Inc., a fast-growing roofing and home improvement company in South Florida, is seeking a highly organized, detail-oriented, and proactive Field Appointment Dispatcher / Sales Operations Coordinator.
This position plays a critical role in managing the flow of appointments to our sales team in the field, monitoring telemarketer performance, evaluating lead sources, and ensuring high-quality standards through call review and reporting.
The ideal candidate is someone who thrives in a fast-paced environment, communicates clearly, solves problems quickly, and is comfortable working with data, CRM systems, and call quality tools.
KEY DUTIES & RESPONSIBILITIES
1. Appointment Assignment & Dispatching
- Assign sales appointments to field sales representatives based on location, availability, and performance.
- Manage real-time scheduling changes, cancellations, and reassignment of appointments.
- Ensure sales reps have full calendars and optimized routes daily.
- Maintain and update the CRM with all scheduled appointments.
2. Telemarketer & Call Center Performance Monitoring
- Track daily, weekly, and monthly telemarketer performance.
- Monitor KPIs such as calls made, contacts, conversions, and appointments set.
- Provide coaching feedback and performance notes to managers.
- Identify underperforming agents and trends that affect appointment quality.
3. Lead Source Evaluation
- Monitor all incoming lead sources (HercuLeads, Online Appointments, Google Guaranteed, etc.).
- Track lead volume, cost, show rate, and closing rate.
- Identify high-performing and low-performing sources.
- Prepare daily/weekly reports for management outlining ROI and trends.
- Recommend adjustments based on performance data.
4. Call Quality Control
- Listen to recorded calls from telemarketers and appointment setters.
- Score calls for quality, professionalism, accuracy, and compliance.
- Identify issues such as poor scripting, misinformation, or missed opportunities.
- Provide actionable feedback to improve call quality and customer experience.
5. Reporting & Communication
- Create and maintain daily and weekly performance dashboards for sales reps, telemarketers, and lead sources.
- Communicate updates, changes, and performance insights to the management team.
- Work closely with Sales Manager, Call Center Manager, and Operations staff to improve efficiency.
6. General Duties
- Maintain organization in the scheduling and dispatch system.
- Assist in improving scripts, scheduling strategies, and dispatching policies.
- Document all key performance indicators (KPIs) and maintain accurate records.
- Participate in weekly performance review meetings.
QUALIFICATIONS
- Experience in scheduling, dispatching, call center, or sales operations (preferred).
- Strong communication and multitasking abilities.
- Comfortable working with CRM platforms and call-tracking software.
- Analytical and data-driven mindset.
- Strong time-management and organizational skills.
- Ability to work in a fast-paced, results-oriented environment.
POSITION DETAILS
- Full-time, in-office position
- Monday–Friday (weekends optional depending on volume)
