We are seeking a meticulous and dynamic Schedule Manager to oversee all scheduling operations for a large-scale live event in Dubai. This includes coordinating multiple rehearsal venues, performance locations, and departments across a workforce of 200–300 cast, crew, and technical staff.
The Schedule Manager plays a central role in ensuring the creative, technical, and operational workflows run seamlessly — balancing artistic needs with logistical realities in a fast-paced environment.

Key Responsibilities
- Develop, maintain, and distribute comprehensive daily and long-range schedules across all departments (artistic, technical, operations, logistics, etc.).
- Coordinate rehearsal and performance schedules across multiple venues, ensuring efficient use of time and space.
- Serve as the primary liaison between Production, Stage Management, Creative, Technical, and HR teams for all scheduling matters.
- Track availability, leave, and call times for 200–300 personnel, including cast, crew, and contractors.
- Manage last-minute schedule changes, ensuring updates are communicated promptly and accurately to all stakeholders.
- Support the Production Office in maintaining the Master Production Calendar and Show Runway Timeline.
- Anticipate potential schedule conflicts or dependencies and propose proactive solutions.
- Generate and circulate daily call sheets, rehearsal reports, and timeline overviews for senior leadership and department heads.
- Ensure clear communication across time zones and teams, particularly with visiting specialists, creatives, and suppliers.
Qualifications & Experience
- Minimum 5–7 years’ experience in scheduling or production coordination for large-scale live events, theatre, festivals, film, or international entertainment productions.
- Proven experience managing multiple overlapping schedules and large teams.
- Strong familiarity with production workflows for rehearsals, installations, and performances.
- Exceptional organizational skills with attention to detail and time management.
- Excellent communication and diplomacy skills across creative, technical, and executive teams.
- Fluency in English required; Arabic an advantage.
