Secretary to the Chief Executive Officer (CEO)
Job Purpose: To organize and manage the CEO's office, providing direct executive and administrative support, ensuring smooth information and report flow, following up on decision implementation, and coordinating with relevant departments and external entities.
Duties and Responsibilities:
- Organize and manage the CEO's office to ensure smooth daily operations.
- Prepare and arrange agendas and meetings (internal and external) and follow up on their outcomes.
- Monitor the implementation of the CEO's decisions with departments and relevant entities to ensure completion.
- Coordinate reports and official correspondence, compile information, and submit executive summaries to the CEO.
- Manage the CEO's schedule, appointments, and travel arrangements.
- Prepare and review correspondence, letters, and contracts before presenting them to the CEO.
- Handle phone calls and emails professionally.
- Record meeting minutes and maintain records and files both physically and electronically.
- Coordinate with the Board of Directors and committees by preparing files and meeting minutes.
- Communicate with official entities, partners, and clients while representing the company professionally.
- Ensure smooth information flow between the Executive Office and other departments.
- Prioritize the CEO's tasks and ensure time is allocated to strategic matters.
- Follow up on pending tasks and alert regarding internal and external deadlines.
Qualifications and Requirements:
- Bachelor's degree in Business Administration or a related field.
- Minimum of 3 years' experience in an executive office management or senior secretarial role.
- Strong organizational and prioritization skills.
- Proficiency in computer use and Microsoft Office applications.
- Excellent communication skills in both Arabic and English (written and spoken).
- Ability to maintain confidentiality and handle sensitive information professionally.
