KAIZEN Asset Management Services, a leading property management firm in Dubai, is seeking a dedicated and skilled Tenant Relations Executive to join our dynamic team.

In this role, you will be instrumental in enhancing the tenant experience and building lasting relationships between our tenants and property management. The ideal candidate will possess strong communication skills, a keen sense for customer service, and the ability to address tenant needs effectively. As the Tenant Relations Executive, you will help ensure that tenants feel valued and supported throughout their residency.

This role is based at the front desk reception and manages responsibilities for both leasing and property management.

Key Responsibilities

Leasing & Tenancy Management

  • Manage the entire administrative process for new leases and renewals.
  • Conduct site visits.
  • Handle lease registration with DIFC RORP for new leases and renewals.
  • Issue breach notices to defaulting tenants.

Financial Administration

  • Issue invoices for new leases and renewals.
  • Oversee the collection of payments for new and renewal leases (receivables).
  • Manage coffee card payment collections.

Compliance & Documentation

  • Resolve issues related to DIFC RORP or RERA as they arise.
  • Perform Know Your Customer (KYC) checks for clients.
  • Update and maintain required documents for KYC, trade licenses, passport copies, etc..
  • Prepare all documentation for NOCs, memos, cheque retrievals, and other related tasks.
  • Generate reports for parking, leases, and other system-related data.

Tenant & Facility Services

  • Manage meeting room bookings.
  • Issue new access cards and provide fingerprint access.
  • Manage new parking allocations and oversee car parking spaces.

Required Skills & Qualifications

  • System Proficiency: Must be proficient and have experience with the Equitativa system.
  • Work Environment: Must demonstrate the ability to adapt quickly to a high-volume, fast-paced work environment.
  • Customer Service: Possess strong communication skills and a keen sense for customer service.
  • Problem-Solving: Proven ability to address tenant needs effectively.

Requirements

  • Bachelor's degree in Business Administration, Hospitality Management, or related field
  • Experience in customer service or tenant relations, preferably in property management
  • Excellent communication and interpersonal skills
  • Professionalism and empathy in handling difficult situations
  • Strong organizational skills with attention to detail
  • Proficient in property management software and Microsoft Office Suite
  • Able to work independently and collaboratively in a team
  • Strong problem-solving skills with a customer-oriented mindset
  • Familiarity with residential leasing processes is a plus
  • Valid UAE driver's license and reliable transportation
