POSITION SUMMARY

The primary purpose of this role is to ensure the smooth and efficient day-to-day running of the PAC. The Theater Operations Manager will oversee event and operations staff as well as work with production and maintenance teams. This position creates event budgets and estimates as well as event management planning. The Theater Operations Manager assists the General Manager with the overall leadership of event operations and quality assurance related to the attendee experience. Incumbents must have excellent communication skills, the ability to work independently, and strong organizational capacity. They must also have experience with budget creation and management, project management, planning, contract management and schedule tracking.

The Theater Operations Manager must be able to provide a high level of event oversight, technical proficiency, and operational/personnel support to ensure smooth operation of the PAC’s event and operations departments.

The Theater Operations Manager will actively supervise, coach, counsel, direct, train and mentor employees in meeting County quality standards, and may initiate or recommend employment actions to the contracted staff company such as hiring, termination, suspension, discipline, and promotion.

Work is performed standing, stooping, sitting, bending, walking, crouching, lifting and moving objects weighing more than 50 pounds. Work is usually performed indoors and occasionally outdoors. The incumbent will be required to work full time with flexible daytime hours, evenings and weekends required.

The employee must maintain excellent attendance and be available to work a variable event-driven schedule including evenings and weekends.

Bachelor’s Degree from an accredited college or university in public assembly facility management, hospitality management, theatre arts, business administration or a related field and a minimum of two years progressively responsible experience in management of arena, convention, trade or conference centers, or an equivalent combination of education and experience preferred. Possession of or ability to readily obtain a valid driver’s license is required.


NATURE AND SCOPE

The incumbent is responsible for assisting the General Manager with the management, administration and promotion of the Columbia County Performing Arts Center’s event and operations departments and reports to the General Manager. The incumbent will oversee event management, maintenance, cleaning as well as working with the General Manager, to ensure the Performing Arts Center consistently exceeds the expectations of all constituencies.


PRINCIPAL ACCOUNTABILITIES

  • Manage the execution of all events at the Performing Arts Center.
  • Supervises all contracted event and operations staff and communicates requested event staffing needs to contracted company.
  • Oversee Volunteer Staff and work with Volunteer Coordinator to schedule staffing for events.
  • Responsible for the customer experience for guests, clients and artists.
  • Report to the General Manager on a regular basis to give an update on PAC events, operations and financial activity.
  • Assist the General Manager with the development and administration of annual operating and capital budget planning related to the events and operations departments.
  • Ensure proper set-up of all events.
  • Set-up duties may include: setting up chairs, tables, stanchions, couches, etc.
  • Provide a high level of oversight and operational expertise resulting in the smooth, efficient and profitable execution of events
  • Assist the General Manager in establishing and maintaining effective working relationships with client representatives, departments, agencies and contractors to encourage continued and regular use of the facilities.
  • Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.
  • Duties may require extended or irregular working hours including nights, weekends and holidays.
  • Performs other related duties as required.

  • Ability to maintain excellent working relationship with diverse work groups to include, artists, contractors, local businesses and business groups, art groups, government agencies, universities, the community, schools, the media and art organizations, employees, officials, and general public.
  • Ability to work independently, exercising judgment and initiative.
  • Ability to work under difficult schedules and pressure and produce accurate results.
  • Ability to remain flexible and adjust to situations as they occur.


DESIRABLE TRAINING AND EXPERIENCE

Bachelor’s Degree from an accredited college or university in public assembly facility management, hospitality management, theatre arts, business administration or a related field and a minimum of two years progressively responsible experience in management of arena, convention, trade or conference centers, or an equivalent combination of education and experience preferred. Possession of or ability to readily obtain a valid driver’s license is required.

A combination of education and/or work experience may be substituted for minimum requirements.
