Summary: The Administrative Assistant will provide comprehensive office and sales support while assisting the product management team with content creation, communication initiatives, and customer outreach objectives. The ideal candidate is organized, proactive, and comfortable working in a fast-paced wholesale/distribution environment.
Role and Responsibilities
- Administrative & Office Support
- Handle email correspondence, file management (digital and physical), and data entry with accuracy.
- Support sales staff with customer inquiries.
- Coordinate schedules, meetings, and internal communications.
- Coordinate with vendors as needed.
- Assist with preparing reports, presentations, and internal documentation.
Sales & Customer Support
- Provide administrative support to the sales team, including updating customer accounts, price lists, and product information.
- Assist with order tracking, shipment coordination, and follow-up with customers.
- Help manage CRM data and ensure customer records are up to date.
Marketing Support
- Assist with creating basic marketing materials such as flyers, product sheets, email newsletters, and social media posts.
- Update website content, promotions, and product information (with guidance).
- Support digital marketing efforts, including monitoring social media engagement and responding to inquiries.
- Help coordinate trade shows, customer events, and promotional campaigns.
- Capture and organize product photos and project images for marketing use.
Qualifications
- 2+ years of administrative experience; experience in wholesale, distribution, or building materials is a strong plus.
- Basic marketing experience (social media, email marketing, graphic design, or content creation preferred).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with CRM or ERP systems a plus.
- Strong written and verbal communication skills.
- Excellent organizational skills with the ability to prioritize and multitask.
- Detail-oriented, dependable, and able to work independently.
- Familiarity with construction or building materials terminology is helpful but not required.
Education Requirements
- High School diploma or GED and 2+ years of administrative experience; experience in wholesale, distribution, or building materials is a strong plus.
Knowledge, Skills & Abilities
- Experience with Canva, Adobe Creative Suite, or similar design tools.
- Comfort with social media management (LinkedIn, Facebook, Instagram).
- Basic understanding of SEO, website management tools, or email marketing platforms.
