Workplace Operations Coordinator - New York
Under the direction of the Workplace Operations Lead, we seek a Workplace Operations Coordinator to help run our New York office. The Workplace Operations Coordinator performs all tasks to present a welcoming and professional office experience for all staff, clients, and guests.
What You’ll Be DOING
What will your essential responsibilities include?

Put the customer at the heart of everything we do and drive a customer first culture by investigating and reporting on customer satisfaction to flag issues

Answer and direct calls in a timely and professional manner

Act as receptionist and provide a seamless, welcoming experience. Manage visitor and vendor access.

Perform walkthroughs of the space, ensuring communal and meeting spaces are fit for purpose for all visitors, internal and external.

Act as the first point of contact; troubleshoot facilities issues (lighting, heating, air conditioning, flooring) reporting to building management and vendors for repair.

Stock supply rooms, pantries, conference rooms, reception area and wellness rooms.

Submit and track invoices through corporate expense system (Coupa)

Assist with new hire orientation including ensuring access is prepared, giving office tours and completing I-9 Verification

Provide mailroom and delivery services including overall management of mail services.

Order, invoice, receive, store, and distribute supplies and deliveries as required and perform remote tasks for offices without onsite Workplace presence.

Partner with Workplace Coordinator peers across the Americas portfolio to share best practices and provide consistent service delivery.

Support requests from partners across the business for events and initiatives within our space.

Provide guidance and seek input from others as needed to achieve the best result possible.

Perform other duties, as assigned.
What You Will BRING

High school diploma or an equivalent combination of training and experience; Associate degree

The ability to take initiative, direction and prioritize accordingly

Flexibility and friendly demeanor are essential qualities for an individual in this position

Excellent interpersonal skills and clear written and verbal communication skills

The ability to be adaptable, solutions oriented.

A positive and collaborative attitude

Experience with Microsoft 365 products

The ability to lift up to a maximum of 40 pounds

The ability to work from our NY office full time beginning at 7am

The U.S. base salary range for this position is $45,100 to $71,300 USD.
Actual pay will be determined based upon the individual’s skills, experience and location. We strive for market alignment and internal equity with our colleagues’ pay.
