
We are looking for an admin supervisor with real estate background or agency that works with developers.
You will play a key role in overseeing administrative tasks and ensuring that the office or operational aspects of a real estate business run smoothly. The role involves managing a team of administrative staff, coordinating various office functions, and supporting the overall operations of a real estate agency or development firm. Admin Supervisors ensure that the organization’s workflow is efficient, compliant with regulations, and aligned with the company’s goals.
Responsibilities:
- Supervising Administrative Staff: Oversee the daily activities of the administrative team, including real estate assistants, receptionists, and office clerks.
- Assign tasks and monitor performance to ensure timely and accurate completion of work.
- Provide training, guidance, and support to administrative staff to ensure high-quality service.
- Conduct performance evaluations and provide constructive feedback.
- Office Management:
- Ensure the office runs smoothly by managing day-to-day office functions such as scheduling meetings, handling mail, answering calls, and maintaining office supplies.
- Develop and implement efficient administrative systems to support the team, agents, and management.
- Manage office budgets and track expenses related to office operations, ensuring cost efficiency.
- Oversee the maintenance of office equipment, ensuring all systems are functional and up-to-date.
- Real Estate Documentation and Compliance:
- Ensure that all paperwork, contracts, agreements, and other documents comply with real estate laws and regulations.
- Supervise the preparation and maintenance of client files, property listings, contracts, and transaction documents.
- Ensure proper filing and documentation of all real estate transactions, ensuring compliance with local, state, and national real estate regulations.
- Coordinate the review and processing of legal documents related to property sales, leases, and management.
- Client and Vendor Communication:
- Act as a liaison between clients, vendors, contractors, and the real estate team.
- Manage client inquiries, complaints, and requests, ensuring a professional and timely response.
- Coordinate with third-party vendors and service providers, such as contractors, inspectors, and attorneys, to facilitate smooth transactions and operations.
- Oversee the scheduling of property showings, inspections, and meetings for real estate agents and clients.
Qualifications:
Bachelor's Degree in Business Administration, Real Estate, or a related field (preferred but not always required).
Experienced in the UAE market.
