The Role
We are seeking a detail-oriented and proactive individual to support our marketing operations. This role involves performing a range of administrative and clerical tasks, acting as a key liaison for retail tenants, and assisting in leasing activities with local brands. The ideal candidate will possess strong communication skills, organizational abilities, and a collaborative mindset.
Key Responsibilities
Client Relationship Management and Communication
- Share tenant and third-party proposals and creatives across assigned tasks
- Provide recommendations on creative elements to support faster decision-making
Agency Management
- Prepare briefs for agency-led campaigns and related tasks
- Follow up with the agency to monitor timelines and deliverables in line with RFP requirements
- Review Arabic copy for accuracy and quality
Tenant Relationship Management
- Promote available marketing channels to tenants (e.g., LED screens, social media, mobile app)
- Support tenants in securing approvals for internal events
- Assist in organizing the annual tenant meeting
Third-Party Supplier Coordination
- Oversee timelines and deliverables from external suppliers
- Conduct quality control checks to ensure production and printed materials meet standards
Event & Activation Coordination
- Manage competition logistics, including registration, permit validation, draws, and prize distribution
- Coordinate involvement of third parties and tenants in events
Financial & Administrative Tasks
- Prepare and issue RFAs and LPOs
- Collect and submit invoices to the Finance department
Contracts and Agreements
- Draft and prepare NDA, marketing, display, and event-hosting agreements, ensuring all required checklists and documents (e.g., CRs, CPRs) are attached
Work Permits
- Obtain client approvals for work permits including photography, marketing events, and general permits
- Approve permits via email and mobile app as needed
Reporting
- Collect input from all stakeholders within the Marketing department
- Compile and prepare comprehensive monthly marketing reports
Storage and Inventory
- Maintain organized onsite storage and proper record keeping
- Oversee storage of IPADs, stamps, legal contracts, and supplier agreements
- Ensure upkeep of the marketing store and promotional equipment
App Management
- Update marketing-related tenant content on the app (e.g., latest news, ongoing campaigns)
- Coordinate with the support team to resolve app-related queries and implement updates
Ad Hoc Support
Carry out additional tasks as delegated by the Line Manager

Qualifications & Experience:
- Minimum of three years’ experience in a similar role
- Proficient in Microsoft Office Suite, particularly Excel and PowerPoint, with experience in producing reports and presentations
- Demonstrated flexibility and adaptability to manage diverse responsibilities and work extended hours when required
- Fluent in both English and Arabic (spoken and written), with the ability to communicate effectively across both languages
