Job Description
The Procurement Assistant / Admin supports the procurement and administrative functions by coordinating with suppliers, maintaining accurate records, ensuring timely deliveries, and handling documentation related to imports, insurance, and safety supplies. The role demands attention to detail, strong communication skills, and the ability to multitask effectively in a fast-paced environment.
Key Responsibilities:
- Assist in sourcing suppliers, obtaining quotations, and negotiating prices to ensure cost-effective purchases.
- Prepare and issue purchase orders (POs) in line with company procedures and policies.
- Receive goods, process delivery notes and invoices, and ensure timely approval and filing.
- Maintain accurate procurement records in the ERP system.
- Support the Procurement Officer in day-to-day tasks and supplier follow-ups.
- Ensure that all purchased goods and services meet the required specifications, quantity, and quality.
- Identify, evaluate, and compare potential suppliers for best pricing and service terms.
- Coordinate with suppliers to resolve delivery delays, invoice discrepancies, or quality concerns.
- Assist in obtaining and renewing motor insurance and vehicle-related documents.
- Ensure the availability and replenishment of safety supplies (PPE, first aid kits, fire extinguishers, etc.).
- Handle import-related documentation such as packing lists, certificates of origin, purchase orders, and coordinate with customs for compliance.
- Respond to internal inquiries related to procurement processes and data.
Qualifications and Skills:
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
- 1–3 years of relevant experience in procurement or administrative roles.
- Familiarity with ERP systems and procurement software is an advantage.
- Strong organizational and record-keeping skills.
- Basic understanding of import/export documentation and local customs regulations.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent communication and negotiation skills.
- Ability to work independently and in a team-oriented environment.
